Job Description Summary
The North and South Europe Grid System Integration (GSI) team delivers a wide range of turnkey high voltage AC and DC transmission projects to its Customers in the UK Ireland and Scandinavia. The execution of these projects requires the control and management of significant quantities of technical documentation and we are looking for an experienced Document Controller with proven leadership ability to join the team.
In this role you will lead the Document Control team and Building Information Modelling (BIM) team who are based both locally and at remote offices to provide the required services support to all the projects that are being delivered by the engineering teams. This will include planning and managing the resources developing and implementing the necessary processes and reporting progress and performance to the key stakeholders.
Job Description
The Grid System Integration (GSI) business team is a turnkey project business that works with its internal and external partners to engineer procure construct and commission a wide range of projects associated with the bulk transmission of electrical power and management of electrical power grids.
These projects typically include:
- High Voltage AC and DC Transmission Projects.
- Expansion and reinforcement of existing transmission substations and networks
- On and Offshore substations to facilitate windfarm connections and other renewable technologies.
- Network compensation and stability projects
- Energy Storage Projects
To successfully deliver these projects it is important to
- Have a strong delivery process that adheres to the Building Information Management (BIM) principles.
- Control the transfer of digital information passing between parties
- Manage the flow of technical documentation between stakeholders.
at all stages of the project from its inception to completion of the final contract records.
The responsibility to ensure that these objectives are delivered in an efficient and expedient manner rests with the BIM Team and the Document Control team and it is the responsibility of the Regional Document and Data Control Leader to lead and guide the team in this pursuit.
To achieve this objective you will undertake the following activities:
- Provide leadership to all the BIM and Document Control team who are providing support to the region regardless of location and reporting lines and ensure that the responsibilities and expectations are clear.
- Manage the resource levels to ensure that all projects have the support they need to enable the expected level of performance for the life of the project. This will include leveraging external (Subcontract) support to manage periods of overload and the undertaking of specialist tasks.
- Ensure the quality of the services provided is maintained at a high and consistent level across the projects. This is both the quality of the service provided and where appropriate the general quality standards of the data and documentation being managed.
- Ensure that all activities are undertaken in a timely manner and meet the needs and expectation of the project. Where a backlog or delay occurs take immediate action to resolve the problem and recover the performance.
- Manage the budgets on each project in order to ensure the required services are delivered within the available budget. This includes the identification to the project team of areas of deviation and scope creep and regular monthly reporting of the budget status to the Project Engineering Leader.
- Ensure the continuous development of the team so that they continue to grow and have all the skills needed to perform their role and keep abreast of the latest industry developments. This will be achieved by ensuring the team have robust development plans that capture their training needs and then supporting them to achieve the desired results.
- The creation and maintenance of both standard and project specific document management processes. This includes getting agreement from all stakeholders and the associated actions needed to educate the participants and ensure the processes are embedded into the operating rhythm.
- The creation and maintenance of document format standards such as drawing borders and standard templates and ensuring they conform with all local international and customer standards and are used correctly and consistently across the region.
- Adopt a continuous improvement and lean focused mindset and be constantly looking for ways to improve productivity by improving the way things are done challenging the accepted practices and removing waste.
- Be the region Key User for all BIM and Document management tools and provide training and support to the users from various functions outside document addition work with the central team for the propose of providing feedback and improvement and the implementation of new systems
- At the start of each project work with the project delivery team to understand both the technical requirements and resource needs and identify and integrate suitable BIM Managers/Coordinators and Document Controllers into the Team. Be available to support the project team and resolve any issues should they arise during the execution works.
- At the start of each project be the main interface with the customer for the purpose of establishing the requirements & expectations and understanding the way in which information is to be submitted and comments are managed. Once the requirements are clear ensure the team undertaking the work are trained to fulfil the commitments.
- Prior to the start of the construction works on each project ensure that a suitable preferably standard process is in place to manage the delivery of construction information to the construction teams and recovery of as-built records. This may be either as hardcopies or electronic information.
- Work with the engineering sourcing and procurement teams to ensure that the equipment suppliers understand GEs data and documentational requirements for the full life cycle of the project. This will include preparing requirements specifications and if needed direct liaison with the Suppliers to explain the needs.
- When it is necessary either for load management or securing specialist skills manage the engagement of subcontracted services. Such requirements could be for printing scanning site filing or general document management support.
- Work with the project teams to identify and provide the support over and above the traditional document control activities but within the skillset of the document control team in order to assist the project delivery performance.
- Work with the Tendering teams to review and analyse the Customer requirements at the bid preparation stage and ensure the necessary provision both in terms of time and material is included in the offer.
- Regularly report the document control performance on all the projects being supported through the publication of monthly KPIs and other necessary metrics.
Requirements:
To succeed in this role you will have generally recognised qualifications that demonstrate a good standard of education and an ability to communicate both verbally and in writing.
In addition you will have more than 10 years experience working in a BIM and Document management position or a position that has a close association with the handling and management of large volumes of technical information and the digital flow of information. You will be familiar with document management systems & BIM tools and have previously acted in the role of system administrator or similar.
In addition you will have experience of directly leading and managing teams that are operating in a fast paced project delivery environment.
Desired Characteristics:
The successful candidate will have a strong understanding of BIM and Document Control principles and the flow of technical data and documentation needed in a project delivery environment. You will have a good knowledge of the tools used to undertake these tasks and be up to date with the latest industry practices.
You will be confident to discuss these topics with customers and internal stakeholders alike and be able to successfully lead a dispersed team of document controllers to support numerous active projects.
You will be a team player with good leadership and interpersonal skills be capable of self-management and have a high degree of flexibility resilience and a self-learning attitude.
