About Us

The NC Department of Administration is the business manager for North Carolina state government. The department oversees Government Operations such as building construction purchasing and contracting for goods and services maintaining facilities managing state vehicles acquiring and disposing of real property and operating auxiliary services such as courier mail delivery and the sale of state and federal surplus property. Additionally the department manages many of the states advocacy programs that provide assistance and services to diverse segments of the states population that have been traditionally underserved.

Description of Work

Key Responsibilities:
Ensure work is being performed correctly timely and is adhering to all applicable policies procedures and laws.
Coordinate administrative support for the surplus disposition program in conjunction with the Administrative Services Supervisor.
Interpret and implement established policies procedures regulations and laws for the disposition of surplus property statewide.
Excellent customer service is a priority. This position has extensive public contact with program clientele employees other departments and the citizens of NC.
Provide services at the front desk by receiving payments for auction awards and for our retail warehouse store notarizing vehicle titles ordering duplicate titles processing default fees and assisting customers.
Main presenter for online training for new users of the SSPA database- responsible for the roster communication and classroom set up.
Assist in format content and agenda of the SSP training program and assist in developing an in-person presentation.
Assist in the online auction system in the absence of the Administrative Services Supervisor.
Some overnight travel may occasionally be required.
Additional duties as assigned.

The Department of Administration serves as the business manager for North Carolina state government and provides leadership to state government agencies for the effective efficient economical and equitable delivery of services to the public. The department also provides assistance and services to several advocacy programs that serve diverse segments of the states population that have traditionally been underserved. The agencys mission directs departmental efforts to: acquire develop and maintain properties and facilities; create and operate an efficient system to purchase and dispose of goods and services to meet the needs of government agencies; provide excellent operational services to state employees; achieve fair and equitable opportunities and representation for various segments of the population that have special needs; and to provide administrative support to independent state government agencies. The Secretarys Office is comprised of the Secretary Chief Deputy Deputy Secretaries and senior leadership support staff for the agency

Knowledge Skills and Abilities / Competencies

  • Ability to communicate effectively both orally and in written form.
  • Ability to multi-task in a fast-paced environment.
  • Experience with Microsoft Office and work-related online information processing systems. Examples include retail inventory control systems invoicing and office management systems.
  • Documented experience multitasking and prioritizing duties in an office or retail environment.
  • Documented experience with preparing and presenting training classes.
  • Documented administrative abilities to include some or all the following: filing record keeping planning keeping calendars scheduling time management decision making and documenting events and activities.
  • Experience utilizing a multi-line phone system.
  • Ability to develop and maintain effective relationships with others to encourage and support communication and teamwork.
  • Documented history of providing excellent customer service and of resolving customer issues positively while following up on customer service issues.
  • Thorough knowledge of office procedures methods and practices.
  • Substantive knowledge of and ability to use correct grammar vocabulary spelling proofreading and office terminology to compose and/or proofread reports training documents correspondence or other materials.
  • Retail or other experience in cash handling and receiving and recording payments.
  • Documented experience of work-related attention to detail including the ability to maintain accurate clerical records online and on paper and to write legibly.
  • Ability to review and document compliance with laws and regulations.

MANAGEMENT PREFERENCE:

  • Management prefers applicants with office retail or inventory management experience.
  • Ability to operate a personal computer and utilize various software programs.
  • Proficiency in Microsoft Office software to include Word Excel and Outlook.

NECESSARY REQUIREMENTS:

  • Notary public certification or ability to become a notary public within 6 months of employment.

Minimum Education and Experience
