Summary

The Purchasing & Cash Coordinator procures goods and services for agency wide use in a timely and cost-effective manner and plays a significant role in ensuring the proper functioning of Incompass system of internal controls. Job responsibilities include the procurement of office supplies program supplies furniture and services. The Coordinator is also responsible for processing bank deposits and monitoring bank activity.

Essential Job Functions

  • Responsible for researching purchasing needs and acquiring the most favorable terms for Incompass purchases. Ensures that bids are obtained when necessary according to Incompass policies and procedures
  • Places orders with vendors and determine shipping information or other terms and conditions
  • Coordinates shipping and receiving with vendors and take delivered items into inventory
  • Enters Purchase Orders into the accounting system and provide reports relating to their status
  • Manages the residential program supply purchasing management of inventory and distribution
  • Maintains and controls office supply inventory and coordinate repairs for copier machines with vendor
  • Responsible for processing all deposits to the Agencys bank accounts and monthly EBT transactions
  • Manages and reconciles petty cash
  • Management of housing and food subsidies
  • Other duties and projects as assigned

Experience/Education

  • Associates degree preferred
  • Two years related experience in purchasing
  • Intermediate Microsoft Office skills required.

Language Skills

Ability to read and interpret documents such as safety rules personnel policies handbooks collective bargaining agreement operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak professionally before groups of employees or managers within the organization required.
