A Brief Overview
Focuses on optimizing patient flow and resource utilization within an outpatient clinic or ambulatory setting. Their goal is to ensure patients receive timely access to care while maximizing efficiency and staff satisfaction. This can involve a blend of technical expertise data analysis and strong interpersonal skills.
Essential Functions
- The Capacity Management Specialist is responsible for monitoring analyzing and optimizing patient capacity and access within the outpatient clinic or ambulatory setting. This role ensures efficient scheduling practices minimizes patient wait times and treatment delays and ultimately improves patient satisfaction and outcomes. Responsibilities Monitor and analyze capacity management and access analytics providing summaries tailored to various stakeholders from executive leadership to clinic staff. Track key performance indicators (KPIs) and metrics related to capacity management and access initiatives. Identify opportunities for improvement based on data trends suggesting and implementing solutions to enhance operational efficiency. Assist in tracking exceptions and change requests ensuring alignment with enterprise access standards and resolving deviations when necessary. Support the design and management of centralized provider schedules and appointment templates. Provide consultative services to optimize scheduling workflows and templates. Collaborate with Access Centers Ambulatory departments and Digital and Technology Partners for seamless implementation and rollout of new applications modules and functionalities related to capacity management. Support end-users on new Epic applications modules and functionalities particularly Epic Cadence related to scheduling and capacity management. Analyze multiple data streams to improve the delivery of coordinated and efficient scheduling practices. Continuously evaluate and improve existing processes and systems to optimize performance and maximize patient access. Stay up-to-date on changes in healthcare regulations technology and best practices in capacity management.
Education Qualifications
- Associates Degree (preferably in a related field such as healthcare administration health informatics or business administration) or equivalent experience. Required or
- Bachelors Degree from an accredited college or university Preferred
Experience Qualifications
- Minimum of two (2) years of experience in analytics reporting Information Systems and/or Capacity Management in a healthcare setting Preferred and
- Experience with practice operations and clinician templates/schedules Preferred and
Skills and Abilities
- Service Orientation: Understanding of patient-centered care and the importance of delivering the right care at the right time.
- Clerical & Computer Literacy: Proficiency in administrative procedures record management and computer applications including Microsoft Office suite and IT ticketing systems.
- Confidentiality: Knowledge of and adherence to HIPAA and other relevant regulations concerning patient information privacy.
- Time Management: Ability to prioritize tasks manage multiple projects simultaneously and meet deadlines in a fast-paced environment.
- Teamwork & Communication: Strong interpersonal and communication skills for effective collaboration with colleagues clinicians and leadership at various levels.
- Analytical Skills: Ability to analyze data identify trends and develop solutions to improve capacity and access.
- Problem-Solving Skills: Ability to identify and resolve operational bottlenecks and challenges related to patient flow and scheduling.
- Adaptability: Ability to adapt to changes in healthcare technology regulations and practices.
