Position Summary

Reporting to the Director of Medical Affairs the Coordinator Medical Affairs will be working in the department to supporting the overall coordination of their applicable professional staff departments. The coordinator will be accountable for supporting department medical leadership including the engagement and recruitment of professional staff to their department. They will provide support to the work of the Department of Medical Affairs and the Chiefs & Medical Directors under their portfolio. They will be accountable for supporting the clinical schedules for professional staff in their departments schedule maintenance and related physician payments. Additional administrative accountabilities for support to the Chiefs & Medical Directors includes calendar management departmental/division meeting support (reoccurring meetings including agenda planning and minutes). They will also provide key support for the recruitment of professional staff to their departments.

Primary Responsibilities

Professional Staff Recruitment

  • Working with the Director of Medical Affairs to support the recruitment of Professional Staff to the organization.
  • Recruitment activities include attending developing and managing online postings attending recruitment fairs conferences and other events as required.
  • Supporting the orientation onboarding and engagement of BCSH professional staff.
  • Maintaining recruitment trackers for departments and divisions.

Administrative Support

  • Providing administrative support to the Chiefs & Medical Directors within their portfolio including meeting scheduling calendar management and alignment of administrative accountabilities with clinical work
  • Supporting the scheduling and coordination of monthly department meetings including minute taking
  • Supporting other departmental specific processes as required.

Professional Staff Scheduling & Payments

  • Accountable for the schedule management for professional staff of applicable departments and divisions in their portfolio.
  • This includes the development and maintenance of monthly schedules for the departments for both planned and unplanned (On-Call) care.
  • Creation and management of an overall electronic schedule of professional staff
  • Working with other coordinators to support scheduling of learners.
  • Regular payment processing for professional staff in the departments including stipends as well as sessionals (as applicable)

Mandatory Qualifications

  • Minimum 3 years diploma in Medical office administration or degree in health admin/health studies or related field
  • Minimum 2 years experience working with physicians in a clinic or other healthcare setting experience working in a healthcare setting as a coordinator
  • General understanding of healthcare in Ontario/Canadamedical terminology basic accounting principles physician billing and scheduling
  • Strong computer skills required with an ability to learn new computer skills quickly
  • Advanced level proficiency in use of Microsoft Office Suite Products (MS Word Excel PowerPoint and Outlook). Extra proficiency in excel and outlook for calendar management.
  • Strong organizational and time management skills.
  • Project management experience including the use of project management tools and experience with physician recruitment and/or any experience working with physicians a strong asset
