Job Summary

Saint Josephs College of Maine is hiring for the on-campus position of Gift Reporting Specialist!

The Gift Reporting Specialist supports the Alumni Relations and Institutional Advancement office by managing the accurate recording of all gifts and gift receipt acknowledgements performing other general duties associated with development including database management in Raisers Edge and providing administrative support for events.

POSITION RESPONSIBILITIES:

Manages the accurate recording of all gifts and gift receipt acknowledgements by:

  • Recording commitments pledge payments and outright gifts to the College in Raisers Edge
  • Defining contributions by gift type giving vehicle designation and campaign
  • Processing gift-related credit cards and pledge entry for development
  • Maintaining the donor gift recording process including stock transfers cash gifts or gifts in kind
  • Following up with donor to process matching gift for timely processing
  • Notifying family members of any tribute (memorial/honorarium gifts)
  • Bringing check/cash and gift reports from daily batches to the Finance office
  • Creating constituent records in the database for new donors to the College including matching gift entities and create appropriate links between records as needed
  • Updating biographical & contact info within the donor record
  • Providing reports of significant gifts to IA management and the President
  • Working with IA staff to draft or process letters of acknowledgement and prepare receipts for gifts received
  • Managing pledge reminders
  • Communicating with constituents via phone email and directing calls to appropriate party
  • Working in conjunction with the Finance department to help ensure compliance with College policies FASB rules and CAE reporting standards and to ensure the timely processing of all gifts

Performs other general duties associated with development including database management in Raisers Edge by:

  • Working directly with the Systems and Database Analyst to act as back up on all matters related to Raisers Edge management
  • Keeping abreast of all upgrades and modules related to Raisers Edge and seeking appropriate training as needed
  • Assisting with special events by staffing registration and payment (if needed) set-up and break-down

Provides administrative support for events by:

  • Helping prepare nametags organize event supplies create lists for check-ins and other key event logistical support
  • Working Advancement and other College events to provide day-of hands on support

MINIMUM REQUIREMENTS:

  • Bachelors Degree preferred or
  • Combination of high school/GED and 2-3 years of related experience

SCHEDULE:

  • This is a part-time position (20 hours per week) Monday through Friday
  • This is an in-person on-campus position

KNOWLEDGE SKILLS ABILITIES:

  • Knowledge of Google Suite Platform and highly skilled in Microsoft Word with experience in document creation such as file management/retrieval merge functions
  • Knowledge and experience with Institutional Advancement tracking software especially Raisers Edge
  • Data and business analysis in relation to software and database design documentation and procedures in an Institutional Advancement/Development environment
  • Database management and report writing experience preferred
  • Experience in troubleshooting software and data issues
  • Ability to work with a wide range of people
  • Possesses problem solving skills and the ability to work independently
  • Duties require professional verbal and written communication skills
  • Possesses an attention to detail with the ability to proofread to ensure accuracy and completeness
  • Must demonstrate teamwork skills and a willingness to help others
  • Possess a positive attitude to foster a cohesive working environment
  • Demonstrated organization and time management skills including the ability to effectively prioritize tasks
  • Ability to maintain confidentiality and discretion
  • Tolerates work related stress effectively and maintains self-control/professionalism
