TheExecutive Administrative Assistantprovides administrative support specifically an executive. They will require in-depth knowledge of company operations policies and procedures. The responsibilities will include collection and preparation of information for use in discussions/meetings of executive staff and outside addition the assistant will prepare presentation materials for board of director or investor meetings. The assistant makes high level contacts of a sensitive nature inside and outside the company.

This high-level position requires a strategic thinker with impeccable discretion superior organizational skills and the ability to anticipate needs before they arise. The ideal candidate will be a consummate professional adept at managing complex situations and interfacing with all levels within the organization.

Key Responsibilities:

  • Serve as the primary point of contact for internal and external communications on behalf of the executive

  • Manage a complex and dynamic calendar including prioritizing critical meetings and engagements

  • Coordinate domestic and international travel ensuring flawless execution

  • Prepare and edit correspondence presentations and reports

  • Organize meetings employee celebrations and strategic planning sessions

  • Manage confidential and sensitive information with the utmost discretion

  • Oversee special projects and initiatives as needed

  • Act as a liaison between the executive and other C-suite members and key stakeholders

  • Coordinate office area and maintain a professional working environment

  • Plan and executive events and meetings for leadership team

  • Anticipate the executives needs and proactively resolve potential issues

Qualifications

Minimum Requirements:

  • High School diploma/GED
  • 5 years of experience supporting executives in a fast-paced corporate environment

  • 5 years of experience coordinating international & domestic travel for leaders

Preferred qualifications:

  • Bachelors degree preferred
  • Experience working in multi-national organization
  • Expert proficiency in Microsoft Office Suite with advanced skills in Outlook PowerPoint and Excel
  • Strong project management skills
  • Exceptional written and verbal communication skills
  • Superior problem-solving abilities and strategic thinking skills
  • Ability to maintain the highest level of confidentiality and professionalism
  • Demonstrated ability to work effectively under pressure and meet tight deadlines
  • Strong leadership skills with the ability to influence and collaborate at all levels
  • Flexibility to work extended hours as needed
