Reporting to the Director Student Engagement & Leadership The Temporary Assistant Bookkeeper will provide essential operational and financial support to student organizations during a high-volume period of activity. This role is critical to ensuring continuity consistency and timely processing of student organization purchases during the extended leave of the Finance Manager.
April is historically the busiest month for student organization purchasing and this position will help ensure student leaders receive the guidance support and responsiveness they need to successfully execute programs and events.

ESSENTIAL JOB DUTIES

Financial Processing & Review

  • Review and process EmConnect purchase requests submitted by student organizations for accuracy completeness and policy compliance.
  • Flag missing information or discrepancies and follow up as needed to ensure timely approval.
  • Assist in tracking purchase requests to support smooth workflow and consistency.

Purchasing Support

  • Make approved low-complexity purchases on behalf of student organizations including but not limited to Instacart Amazon Walmart and Target.
  • Maintain basic records and receipts for completed purchases.
  • Reconcile Pcard charges including monthly subscriptions.

Communication & Student Support

  • Communicate directly with student organization leaders regarding purchase requests timelines and next steps.
  • Provide clear friendly guidance to students navigating the purchasing process.
  • Serve as a consistent point of contact during a high-demand period.

General Support

  • Assist with maintaining organized financial records and documentation.
  • Support the Finance Manager (when back from leave) and SEAL team with additional administrative tasks as needed during peak purchasing season.

QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to effectively perform job.

  • High School Diploma or equivalent experience required.
  • Experience working with student organizations or in a campus administrative role preferred.

KNOWLEDGE SKILLS AND ABILITIES May be representative but not all-inclusive of those knowledge skills and abilities commonly associated with the job.

  • Strong attention to detail and organizational skills.
  • Clear and professional written communication skills.
  • Ability to manage multiple requests and deadlines in a fast-paced environment.
  • Comfort working with online purchasing platforms and financial systems.
  • Reliability and consistency in a time-sensitive role.
  • Familiarity with EmConnect or similar student engagement platforms preferred.
  • Basic understanding of purchasing or financial processes preferred.

The compensation for this position is $18 an hour.

Grade of Position: T01N

Scheduled Weekly Hours: 15.00
