Job Summary

Reporting to the Professor/Director Center for Partnerships with LA (LAC) the Program Manager is responsible for the day-to-day management and administration of the Center working in close partnership with the LAC Faculty Director. The Program Manager oversees operational and administrative functions including the management of application processes for community partnership funding. Serving as the primary institutional point of contact the Program Manager provides guidance to faculty and staff on community partnership best practices relevant college policies and operational collaboration with the LAC Faculty Director the Program Manager leads the coordination and execution of campuswide partnership programs ensuring effective cross-departmental collaboration consistent program delivery and alignment with the Centers strategic goals.

This position is represented for purposes of collective bargaining by SEIU.

Job Duties

  • 40% - Oversight & Administration Accept log and review faculty applications for funding; make recommendations for approval and award amounts to the LAC Faculty Director. Notify faculty of award status support faculty in executing projects and programs and issue payments as required. Request and collect assessment reports to monitor program outcomes and inform improvements. Direct planning and execution of LAC-led events and programming. Collaborate with campus departments including Conference Services and Facilities to implement programs and support faculty partnerships. Supervise and manage LAC student workers. - (Essential)
  • 30% - Program Management & Faculty/Community Partnerships Serve as the primary point of contact for community partnerships faculty and program initiatives ensuring institutional goals. Lead presentations workshops and information sessions for faculty staff and community partners to support program engagement. Develop and manage educational and training materials for faculty staff and community partners in collaboration with the LAC Faculty Director. Oversee daily program operations such as walk-in phone and email inquiries to ensure consistent delivery. Develop implement and manage operational processes for community partnerships and related programs including communications scheduling and follow-up procedures. - (Essential)
  • 20% - Program Assessment & Evaluation Lead the design implementation and analysis of assessment for LA connected activities across campus (e.g. field trips project partnerships). Provide recommendations to LAC Faculty Director to improve programs. - (Essential)
  • 10% - Community Engagement Collaborate with the LAC Faculty Director to lead the Community Engagement Coordinating Committee including planning monthly meetings setting agendas and overseeing execution of shared projects. - (Essential)

Minimum Qualifications

  • Bachelors degree in related field to position duties or equivalent combination of education and experience.
  • Four years of administrative/clerical experience in an office setting with a front-facing customer service orientation.
  • Experience coordinating programs projects or events in an academic or organizational setting. Two years of supervisory experience.
  • Proficiency in Microsoft Office applications (Word Excel PowerPoint) Google drives/folders/forms Adobe Acrobat Web Editing and social media applications or any combination of productivity programs applicable to position responsibilities.
  • Demonstrated ability to be detail-oriented and thorough; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
  • Strong commitment to a quality work product.
  • Demonstrated ability to effectively communicate verbally in writing and electronically.
  • Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.

  • Ability to effectively design define describe and document job functions responsibilities tasks and required qualifications associated with supervised positions and the demonstrated skills in assessing candidates experience knowledge skills and abilities when hiring for vacant positions ensuring the best choice of candidate.
  • Ability to provide employee development training and opportunities for direct reports to demonstrate performance achievement and success; recognizing performance of both above standards and needs improvement and respond accordingly.
  • Skilled at communicating feedback verbally in writing and electronically; and documenting performance via introductory
    and annual performance appraisals.
  • Skilled in developing and determining corrective employment/performance/behavioral strategies as needed.
  • Demonstrated ability to design and execute performance improvement plans conducting disciplinary action and/or determining the appropriateness of employment continuation.

Preferred Qualifications

  • Experience with program assessment budgeting and cross-departmental collaboration.

EXPECTED HIRING RANGE:$22.60/hr-$29.00/hr

If you are offered this position at Occidental College your final base salary compensation will be determined based on factors such as skills education experience and/or geographic addition to those factors Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
