The Coordinator for Residence Life Operations is an essential employee of the Professional Staff within Residence Life which is in the Division of Student Affairs. The Coordinator for Residence Life Operations is supervised by the Associate Director for Residence Life Operations. The Coordinator for Residence Life Operations primary responsibilities include overseeing Residence Life services responsibilities within Residence Life Operations the Eagle Mail Center and conferences. The position is a twelve-month appointment.

RESIDENCE LIFE OPERATIONS
Collaborates with external vendors and services and internal campus partners to maintain successful partnerships while representing the interests of the division.
Maintain and reconcile purchasing accounts from department vendors.
Work with the Associate Director for Operations on annual budget cycle process.
Assist Associate Director for Operations in designing training on purchasing guidelines and supply ordering for Residence Life Staff.
Provide training and support to student employee supervisors on onboarding processes and collaborating with Human Resources.
Assist Associate Directors in maintaining documentation of student employee records including sharing active employee lists with campus partners (Financial Aid Dining Athletics).
Develop and maintain departmental technology inventory in collaboration with IT.
Design customer service training and work with Residence Life Professional Staff to create continuity of service in all reception areas throughout the department.
In concert with Management Team design and launch annual student satisfaction assessment survey and distribute data to colleagues and campus partners.
Serve as primary contact for Residence Life with the UWL Foundation for One Day for UWL and other Foundation initiatives.
Maintain a list of Residence Life Alumni.
Assess Marketing needs within Residence Life and assist in coordinating any initiatives through University Communications.
As a member of the Operations team attend regular Operations meetings and assist in the overall management of Residence Life Operations.
Participate in departmental divisional and university committees as assigned.
Perform additional duties as assigned by the Associate Director for Operations
EAGLE MAIL CENTER
Oversee the administration and management of the Eagle Mail Center ensuring quality customer service as well as efficient and effective systems in the delivery of services.
Directly supervise full time Mail Clerk and indirect supervision of student employees (Mail Center Leads and Mail Center Assistants).
Assist Mail Clerk in hiring onboarding training and schedule shifts for the Eagle Mail Center.
Coordinate with mail carriers (UPS FEDEX USPS Amazon etc.) and our UWL central campus mail team on delivery system to UWL including outreach regarding access issues schedule changes or other mail processes.
Utilize and train staff on software management system to inventory and track package and mail intake and distribution.
Communicate with La Crosse City Clerk on matters regarding voter registration for anyone living on campus.
Explore new mail/package delivery issues as they arise suggesting problem-solving measures that meet a high standard of service.
Conduct audits of the Eagle Mail Center to ensure mail is secure records of package pick-up are accurate and recycling / shredding processes are being properly managed.
Manage employee access and door security to the Eagle Mail Center.
In the absence of the Mail Clerk assume those responsibilities.
CONFERENCES
Responsible for the daily operations of Residence Life Conferences including WIAA State Track.
Coordinate with Assignments Staff in making housing assignments and with Residence Life Facilities ensuring rooms are clean and prepared.
Oversee and provide direction to live in professional staff in the capacity of conferences.
Work with designated live in professional staff to recruit hire train and supervise Conference Assistants.
Work with live in professional staff to recruit hire train and supervise WIAA State Track Assistants.
Ensure quality customer service as well as efficient and effective processes of service for conferences.
Coordinate conference housing registration with conference directors external summer housing interns and campus partners.
Meet with local community agencies as requested in the interest of Residence Life summer conference operations.
Explore opportunities for summer revenue generation through the conference program.
Oversee and maintain the Residence Life credit card machine used for collecting payments associated with WIAA State Track and Summer conferencing.
Assist Associate Director for Operations with conference contracts and billing.
Coordinate transitions between academic year and summer and vice versa.
Represent Residence Life as a youth protection liaison and serve on the campus committee.
