Overview
This position requires the individual employee to interact with a diverse ethnic cultural and religious staff and residential population to carry out their duties and responsibilities within the immediate proximity to 143 homeless MICA residents live; and may involve interacting with persons troubled by addictions mental illness or physical illness/disabilities or any combination thereof.
Responsibilities
- Type correspondence as directed by the Director of shelters Program Director Supervisor - Social Services and Administrative Assistant for Family and MICA Shelters.
- Assists Administrative Assistant for shelters in placing orders processing invoices and updating payroll etc. when needed.
- Assist Administrative Assistant for Shelters in filing/typing/faxing/photocopy when requested.
- Responsible in creating charts for incoming Residents by maintaining and also archiving de-activated Resident charts when needed.
- Ensure the smooth operation of the reception desk. Answer transfer and take messages on all incoming telephone calls.
- Act as Custodian for Kingsboro Mica metro cards.
- Ensure facility office equipment is working properly and place service calls when needed.
- Receive sort and distribute all facility mail in accordance with policy and procedures.
- Responsible for maintaining and updating the bulletin boards.
- Responsible for maintaining Staff and Resident identification cards.
- Responsible for entering Residents passes into the computer as instructed and approved by Supervisor - Social Services.
- Attend meetings and take minutes when requested.
- Attend the weekly Case Conferences and take minutes/progress notes; maintain a file for all Case Conferences notes.
- Maintain Resources file for Social Services Department.
- Prepare monthly statistical and other reports as required.
- Ensure the Token Economy program is up to date.
Qualifications
- A High School or a GED diploma and two years experience in the field.
- Speak fluently in the English language and proficient in the English grammar.
- Type 50 words per minute.
- Knowledge of proper telephone procedures and is computer literate
