As a Scheduler you are the connection point between our families and clinicians. Youll coordinate appointments match availability manage drive time and mileage and ensure services run smoothly and efficiently. Your organization and communication skills directly support our clinical team and help ensure consistent high-quality care for our clients.
At Aura Behavioral Health we use Applied Behavior Analysis (ABA) to teach our clients essential life skills including self-expression independence social skills self-awareness and coping techniques. Our mission is to help each client and their families live healthier happier lives and our Scheduler plays a vital role in making that happen.
Position Summary
Reports to Client Care Manager
Reporting Time: 8:30-5:30 (1 hour lunch)
Pay Range: $20-24
Key Responsibilities
Scheduling & Coordination
Create maintain and adjust weekly schedules for Behavior Technicians (RBTs/BTs) and clients
Ensure coverage for all authorized service hours while minimizing cancellations and gaps
Manage schedule changes due to cancellations staff availability holidays and time-off requests sub sessions and trainings as needed
Assign staff to cases based on availability credentialing location and supervision requirements
Plan client assignments and case assignment launches with clinical staff
Other tasks as assigned
Communication
Communicate schedule updates clearly and professionally with staff supervisors and caregivers
Notify team of unconverted timesheets via conversion list
Compliance & Documentation
Ensure scheduling aligns with authorizations treatment plans and payer requirements
Track staff availability PTO/UTO and cancellations
Support accurate documentation related to attendance and scheduling
Maintain confidentiality and comply with HIPAA standards
Maintain break requirements per state law
Maintain over time requirements per state law
Maintain DT and mileage per state law
Auditing entering and converting mileage and telehealth appointments
Qualifications
Required:
High school diploma or equivalent
Strong organizational and time-management skills
Excellent written and verbal communication skills
Proficiency with scheduling software EHR systems and Microsoft Office/Google Workspace
Ability to multitask and prioritize in a fast-paced environment
Must pass a criminal background check
Preferred:
Experience in ABA healthcare education or human services scheduling
Familiarity with ABA service models (in-home clinic school-based)
Knowledge of insurance authorizations and billable hour requirement
Spanish speaking
