QUALIFICATIONS:

  1. High School Diploma G.E.D. certificate
  2. Demonstrates and/or develops skills to effectively operate computer and experience with automated record-keepingsystems.
  3. Demonstrates and/or develops skills related to the position including accounting skills with at least two years of increasingly responsible record-keepingexperience.
  4. Must meet the requirements of a criminal record check as specified by Kentucky State Law.
  5. Has met health requirements as specified in districtpersonnel policy.

JOB GOAL:

To assure the effective operation of school financial matters.

ESSENTIAL JOB FUNCTIONS:

ABILITYTO:

  • Perform complex and advanced-level accounting duties in the maintenance of assigned accounts.
  • Perform responsible record-keeping duties with a high degree of skill and accuracy.
  • Verify balance and adjust accounts.
  • Process and record accounting transactions accurately.
  • Prepare financial statements profit and loss statements and other technical financial reporting documents.
  • Learn interpret apply and explain rules regulations policies and proceduresrelated to utility payments and food service accounting.
  • Operate office machines including computer equipment personal computer accounting software and peripherals.
  • Add subtract multiply and divide quickly and accurately.
  • Understand and follow oral and writtendirections.
  • Establish and maintain cooperativeand effective working relationships.
  • Meet schedules and time lines.
  • Work confidentially with discretion.
  • Communicate effectivelyboth orally and in writing.
  • Complete work with many interruptions.
  • Type at an acceptable rate of speed.

CRITICAL SKILLS/EXPERTISE REQUIRED:

KNOWLEDGE OF:

  • Advanced clerical accounting principlesand techniques involved in financial record keeping monitoring and control.
  • Estimating projecting and extending financial and statistical data.
  • Preparation of financial statementsand comprehensive accounting reports.
  • Applicable section fo Kentucky Administrative Regulations and other applicable laws rules and regulations.

PERFORMANCE RESPONSIBILITIES:

Maintains accurate records:

  • Makes journal entries to transfer monies to appropriate accounts.
  • Prepares appropriate financial reports: Monthly Yearly and as requested by the Superintendent Deputy Superintendent orDirector of Finance.
  • Maintains appropriate recordspertinent to approved budget.
  • Maintains a general working knowledge of payroll.
  • Receives and routes all incoming communication in appropriate manner.
  • Plans and completes work on a timely basis.
  • Consistently displays self-discipline.
  • Cooperates with staff both certified and classified.
  • Promotes job and loyalty to organization by actions whichindicate a spiritof pride for the job and the organization for which employed.

PERFORMANCE RESPONSIBILITIES:

  • Organize and coordinate a wide variety of clerical and other office functions and activities related to the administration of diverse programs and operations at a school.
  • Serve as secretary and provide administrative assistance to the Principal; make schedule and arrange appointments meetings and conferences.
  • Coordinate and facilitate communication between district and site personnel parents students school and community organizations and the general public.
  • Communicate with a variety of site and district personnel and administrators to coordinate school operations and maintenance resolve conflicts and issues and exchange information as appropriate.
  • Perform secretarial duties for the principal assisting with routine administrative matters as appropriate; independently compose letter memoranda and other materials.
  • Assist the principal in the preparation and maintenance of financial statistical and narrative reports; research compile and organize information.
  • Prepare forms and assist the principal in preparing and monitoring budget.
  • Type from notes rough draft or verbal instructions a variety of written materials including correspondence bulletins memoranda calendars requisitions records reports and evaluations.
  • Collect compile organize and record a variety of data related to attendance enrollment personnel payroll equipment and student activities; prepare and maintain related records files and logs.
  • Collect and account for monies collected in conjunction with school activities; secure monies and process according to established procedures.
  • Operate a variety of business and office machines including typewriter copiers calculator computer copier and communication equipment. Order a wide variety of equipment materials supplies and special items requested by faculty; assure receipt and proper distribution.
  • Answer phones and greet visitors; take and relay messages; provide information to students parents faculty and site personnel.
  • Demonstrates loyalty and dedication to the purposes and goals of the Daviess County Public Schools. Performs related duties as may be assigned.
