Responsibilities
The Office Manager plays a critical role in ensuring the smooth and efficient operation of VNHs administrative functions. This position is responsible for managing office operations ordering and maintaining supplies handling incoming and outgoing mail and providing administrative support across multiple departments. The Office Manager also serves as a backup to the Executive Assistant ensuring continuity of executive and organizational support. This role requires strong organizational skills attention to detail and a service-oriented mindset.
The Office Manager:
- Oversee daily office operations to ensure a well-organized professional and efficient workplace. Effectively manages facility employees by hiring onboarding managing performance and supporting growth and development.
- Order track and maintain inventory of office supplies and equipment; ensure cost-effective purchasing practices.
- Coordinate with vendors and service providers for office maintenance equipment servicing and facility needs.
- Assist with onboarding logistics for new employees (workspace setup badges supplies and welcome materials).
- Support internal events trainings and meetings including room setup catering coordination and materials preparation.
- Support Administration with contract maintenance and accountability to department budget.
- Manage the phone systems and is the point of contact for Audio Visual (AV) needs troubleshooting and knowing when to escalate to IS.
- Serve as a backup to the Executive Assistant including calendar management meeting coordination correspondence Board-related administrative support and document preparation for the CEO and/or Executive Leadership.
- Manage incoming and outgoing mail/email packages mail machine special shipping and courier services; ensure timely distribution and proper tracking.

Qualifications
- Bachelors degree preferred; each year of approved experience may be substituted for one year of education.
- Three to five years of experience as an executive/administrative assistant office manager program manager or similar role. Each year of approved formal education may be substituted for one year of work experience.
- Demonstrated ability to work in a fast-paced multidisciplinary environment with competing priorities.
- Excellent communication and strong organizational and multitasking abilities with high attention to detail.
- Proficiency in Microsoft Office (Outlook Word Excel PowerPoint) and office management systems.
- Two (2) years of experiences in a direct supervisory role.
