Job Purpose
The PMO Administrator provides high-level administrative and operational support to the Project Management Office (PMO) enabling effective governance monitoring and reporting of projects across the University of Lancashire. The role ensures that project documentation processes and communication are maintained efficiently supporting successful project delivery across the institution.
Key Responsibilities
Provide administrative support for the PMO including scheduling meetings preparing agendas taking minutes and maintaining action logs.
Maintain and update project documentation databases and tracking systems to ensure accuracy and accessibility.
Support PMO reporting including preparation of progress reports dashboards and presentations for senior management and stakeholders.
Coordinate project workflows deadlines and resource requests to support project managers and teams.
Assist with the development implementation and enforcement of PMO standards processes and templates.
Support the onboarding and training of staff in PMO tools and procedures.
Liaise with internal departments and external stakeholders to facilitate smooth communication and coordination across projects.
Monitor compliance with University governance procedures project timelines and quality standards.
Undertake general administrative duties including filing correspondence and document control to ensure smooth PMO operations.
Requirements
Educated to GCSE level or equivalent; A-levels or higher education qualifications desirable.
Proven administrative experience preferably within a project environment or professional services setting.
Experience of supporting project teams coordinating meetings and preparing reports.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and project management software (e.g. MS Project SharePoint).
Strong organisational and time management skills with the ability to manage multiple tasks simultaneously.
Excellent attention to detail and accuracy in documentation and reporting.
Strong interpersonal and communication skills able to work effectively with a range of stakeholders.
Understanding of project management principles and methodologies is desirable.
Ability to maintain confidentiality and handle sensitive information appropriately.
Proactive and self-motivated with a collaborative approach.
Flexible and adaptable to changing priorities.
