DescriptionJOB SUMMARY
The Service Specialist position within Southeastern Universitys Office of the Registrar plays a crucial role in providing essential support to students faculty and staff. The position entails serving on the Registrar Front Line managing inquiries through various communication channels processing registrar forms registration assistance and workflows and handling departmental purchasing tasks.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Assistant Registrar of Service & Operations
Supervisory Responsibility: NA
Indirect Supervisory Responsibility: Graduate assistant student workers
ESSENTIAL DUTIES - May include but is not limited to the following:
- Managing inquiries from students faculty and staff through various communication channels such as email ticketing system telephone and in person.
- Handling the email account and ticket queue and managing individual employee email accounts.
- Responding to the needs of professors deans and department chairs regarding registrar-related matters.
- Processing various registrar forms and workflows including but not limited to:
- Course Withdrawal form
- Directed Study form and related reports
- Name/Address Update form
- Graduation Application form
- FERPA Consent
- Enrolling incoming students into CORE 1111
- Handling registration and processing for various categories of students including Non-Degree Seeking Students NILD (National Institute for Learning Development) students and transfer entry and grade entry for FLOCS (Florida Online Consortium).
- Managing procedures related to closing student records university withdrawal non-returning students and academic suspension.
- Overseeing graduation communication and managing the email account.
- Processing transcript requests
- Performing any other duties as assigned by the Registrar or Assistant Registrar.
ADDITIONAL/NON-ESSENTIAL DUTIES

All remaining duties are considered nonessential within the context of the ADA which means that the function could be reassigned to another employee in order to allow a disabled individual to hold the position. Alternatively the manager could try to provide a reasonable accommodation so that the disabled individual could perform the function.

- Proficiency in Microsoft Office and Google Drive: Ability to effectively use Microsoft Office suite and Google Drive for document management and collaboration.
- Knowledge of Southeastern University Programs: Familiarity with Southeastern University degree programs and course offerings.
- Problem-Solving Skills: Ability to effectively solve problems and find solutions to challenges as they arise in the role.
WORK ENVIRONMENT

Physical Requirements:
- Office Environment: Ability to work primarily in an office setting which involves sitting for extended periods.
- Computer Use: Proficiency in using computers for various tasks which requires hand-eye coordination and manual dexterity for typing and handling office equipment.
- Communication: Strong verbal communication skills for meetings presentations and interactions with staff students and parents.
- Mobility: Capability to move around the office and campus as needed for meetings and events.
- Lifting: Occasionally lift and carry items such as files documents or small office equipment weighing up to 20 pounds.
- Visual Requirements: Ability to read and interpret data on computer screens and printed documents.
- Hearing and Speaking: Adequate hearing to participate in conversations and phone calls and clear speaking ability for effective communication.

TRAINING
All new hires and employees transferring into a new position will have a 90-day probationary period within which to learn the functions of the job and to be evaluated. Following the probationary period the employee can transition to regular status have the probationary period extended in order to receive more training or have employment terminated. Required compliance training is as follows:
1. Four to six weeks to learn details of registration processes.
2. Six months to one year to perform all job-related duties with minimum
supervision.
SAFETY

- Emergency Employees report for or must remain at work in emergency situations. Dismissal or closure announcements do not apply to this position unless instructed otherwise by your direct supervisor or a member of the Leadership Team.
SCREENING
All full-time positions at SEU are deemed security-sensitive and require background checks. Employees required to drive their own personal vehicle a rental car or an SEU vehicle in performance of their duties must pass an MVR records check and meet the requirements of the Universitys insurance carrier in order to meet the requirements of the position.
