Summary:
The Executive Assistant to the Superintendent organizes and performs administrative duties of a high level with minimal supervision. This position plays an integral role in the daily operations and communications for the school district.
Duties & Responsibilities:
- Assists the Superintendent in general administrative operations.
- Develop and process confidential data and information.
- When appropriate interpret district policies guidelines and directives to staff administration and the public.
- Provide administrative support to the Board of Education including preparation of meeting agenda; preparation / assembly of required materials; keeps full and accurate minutes of all regular meetings of the Board and files appropriately; maintenance of official meeting schedules; posting of special meetings; preparation of records; and coordinating of elections
- Acts as FOIA Coordinator for the district.
- Performs administrative work of a high level with minimal direction and supervision.
- Prioritizes composes edits and formats documents on own initiative or when directed.
- Screens and prioritizes incoming correspondence for the Superintendent.
- Maintains diplomatic and helpful manner when dealing with the public district staff and Board of Education.
- Identifies concerns problems and complaints and provides direct assistance within scope.
- Reports regularly to the Superintendent on any developments or problems within the district requiring the Superintendents awareness or action.
- Coordinate attend participate in and record minutes of Superintendents administrative meetings.
- Orders and maintains supplies as needed
- Effectively and consistently communicate and interact with staff and students.
- Attend all mandatory staff meetings events or training
- Other duties as assigned by the Superintendent.
WORKING CONDITIONS
Environment:
- Office environment with occasional travel to school buildings.
- Requires attendance at evening meetings or events.
- Periodic participation in professional development activities.
- Intermittent interruptions.
- The noise level in the work environment is at a low level.
Physical Demands:
- Ability to physically perform tasks associated with the job description including but not limited to abilities to stoop bend sit stand stretch grasp push pull walk lift up to 25lbs.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to see hear and move intermittently or use prosthetics that will enable to function adequately to ensure that the requirements of this position can be fully met.
QUALIFICATIONS
Minimum Education & Experience:
- High school diploma or equivalent required.
- Minimum of 5 years of executive secretary experience
Required Skills & Abilities:
- Proficient in a variety of current technologies and office software ( Office Google Suite etc.).
- Efficient and accurate word processing and keyboarding skills.
- Ability to keep records and compile reports while maintaining confidentiality of sensitive information.
- Ability to establish effective rapport and maintain effective working relationships with administrators teachers parents and other staff members.
- High moral character integrity and strong interpersonal communication skills
- Must be able to read write and speak English
- Excellent verbal and written communication skills.
