Duty Days: 202 days per year
Primary Purpose:
Under direct supervision of the principal provide reception and clerical assistance for the efficient operation of the campus office. Maintain accurate attendance records for the campus. Under direct supervision perform data entry including attendance Public Education Information Management System (PEIMS) data and grades.
Qualifications:
Education and Certification
- High school diploma or equivalent
Experience
- At least two years of clerical and data entry experience
Special Knowledge and Skills
- Bilingual Preferred
- Proficient skills in keyboarding word processing 10-key and file maintenance
- Ability to use personal computer and software for word processing and to develop spreadsheets and databases; including but not limited to Microsoft Office applications (Word Excel PowerPoint) and DISD network
- Ability to operate multi-line phone system
- Ability to follow written instructions
- Ability to meet established deadlines and multi-task in a fast-paced environment
- Proficiency with MS Office and Google Suite
- Ability to exercise good judgment in handling confidential information
- Excellent organizational communication (written and verbal) and interpersonal skills
Major Responsibilities and Duties:
Receptionist
- Receives and directs incoming calls take reliable messages and routes to appropriate staff.
- Greets and directs campus visitors maintains visitor log and issues visitor passes when required.
- Assists parents in checking students in and out of school.
- Receives sorts and distributes mail messages documents and other deliveries.
- Assists with the receipt and distribution of student materials including homework requests and grade reports.
- Assists with preparation of materials for mailing including preparing labels stuffing envelopes etc.
- Maintains computerized files using personal computer including reports employee roster and mailing list.
- Serves as primary staff and student attendance monitor.
- Prepares attendance reports for principal.
- Gathers staff Absent from Duty Forms substitute requests doctor excuses student absences and early dismissals etc.
- Assists secretary with paraprofessional timekeeping in and out punches.
Attendance Clerk
- Collect and enter attendance and PEIMS data into established database and verify accuracy according to established procedures.
- Develop and maintain working relationships with all ten campuses registrars attendance and career counseling staff.
- Prepare and print reports including attendance reports grades class or personnel rosters end-of-semester reports or accounting reports.
- Maintain physical and computerized records including student files attendance documentation progress and failure reports class rosters grade books and schedule changes if applicable.
- Maintain student records attendance and grades for Out of District students and send information to corresponding schools.
- Process student tardy and dress code issues during student arrival times.
- Process OOD new student records including requesting transcripts and records from other schools setting up cumulative folder and entering student data into appropriate databases.
- Call parents to verify student absences as needed.
- Assist parents students and faculty with questions regarding student attendance and ATC credit recovery.
- Report all attendance problems to designated campuses attendance counselor and administration.
- Maintain records and coordinate services for free/reduce breakfast and lunch students that stay on campus all day.
- Prepare and distribute student identification cards and issue parking stickers.
- Assist campus administration with the preparation of reports and student data information.
- Answer incoming calls to campus forward to appropriate staff answer questions and re-direct calls to appropriate people.
- Point of contact for all emergency related issues on campus.
- Provide direct care utilizing school health protocols and care plans established by the off-campus school nurse (RN).
- Assist in campus office as needed.
Other Related Duties:
- Follows district safety protocols and emergency procedures.
- Participates in professional development department meetings and special events as assigned.
- Performs other duties as assigned.

Tools and Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Environment: May work prolonged or irregular hours; may require occasional district-wide and statewide travel
