The Administrator is responsible for assuring that the daily operations of the outpatient physician practice clinic sites and related ambulatory operations comply with local state and federal regulatory and accrediting body standards. This position is responsible for all business operations patient access front office and back-office workflows revenue cyclerelated activities and provider efficiency support functions.
This role includes oversight of day-to-day clinic workflow staffing optimization provider schedule management patient flow referral & authorization processes and operational performance.
In addition the Practice Administrator is responsible for the administration and supervision of all clinic support staff including MAs front desk imaging surgical scheduling and care coordination and is accountable for the coordination of all clinical and support services delivered in the outpatient Physician Clinic and its personnel.
STRATEGIC & PRACTICE GROWTH RESPONSIBILITIES
- Drive practice growth optimize patient access and build high trust relationships with providers to support efficient clinic operations.
- Accountable for operational drivers of volume growth including template optimization provider productivity and throughput improvements.
- Supports onboarding new physicians/APPs by ensuring clinic readiness staffing alignment room availability and workflow integration.
- Proactively partners with physicians to resolve operational issues streamline workflows and support high-quality patient care.
OPERATIONAL LEADERSHIP
- Leads daily clinic operations ensuring consistent efficient workflows across all patient facing and provider support functions.
- Responsible for practice level financial stewardship including visit volume trends provider productivity dashboards staffing ratios and controllable ex pense management.
- Implements operational plans focused on patient throughput access standards and care team efficiency.
- Motivates and empowers clinic staff to meet the practices mission and purpose.
PATIENT ACCESS SCHEDULING & WORKFLOW MANAGEMENT
- Oversee provider scheduling templates visit types and access standards.
- Ensures efficient workflows for check-in/checkout insurance verification referrals authorizations imaging and clinical support teams.
- Leads daily readiness huddles and monitors realtime clinic flow to reduce bottlenecks and patient wait times.
FINANCIAL OPERATIONS
- Develops and manages practice budgets staffing models and operational KPI reporting (no-show rates patient experience room utilization provider productivity).
- Ensures revenue cycle accuracy related to documentation charge capture authorization compliance and coordination with centralized billing teams.
CLINICAL OPERATIONS & CARETEAM SUPPORT
- Ensures care teams (MAs imaging surgical schedulers) are properly trained equipped and staffed to support efficient provider operations.
- Delegation of responsibilities and duties to professional technical and ancillary personnel.
- Coordinates activities within exam rooms treatment areas and in office procedures or imaging.
HUMAN RESOURCES & STAFF DEVELOPMENT
- Interviews hires counsels and evaluates direct reports in alignment with practice operational standards and staffing needs.
- Develops lead roles and supervisors within the clinic to strengthen operational structure and succession planning.
REQUIREMENTS:
- Bachelors Degree BSN or RN preferred or equivalent experience.
- Bachelors Degree Masters preferred or equivalent experience required with a minimum of five years of supervisory/management experience required.
ï Outpatient clinic or physician practice experience preferred.
ï Experience in budgeting personnel leadership and clinic operations.
- Knowledge of State Federal and Accrediting Body regulations and standards related to healthcare.
- Willingness to participate in goal-setting and educational activities for own professional advancement and that of others.
- Experience in budgeting and personnel management
