Title: Payroll Coordinator
Reports to: Director of Employee Relations
Job Description:
To provide responsibility for the payroll department of the district.
Job Qualifications:
- High School diploma or equivalent(REQUIRED)
- A valid State of Arizona Drivers License is (REQUIRED)
- Previous experience in payroll processing
- Proficient computer skills i.e. MS Word Excel MS Outlook and 10 key preferred
- Ability to take direction work independently and complete assigned tasks
- Effective organizational and time-management skills
- Ability to maintain confidentiality
- Excellent verbal and written communication skills
- The exhibited desire and ability to perform the required duties and a working knowledge of computers and various software programs. Previous experience in INFINITE VISIONS accounting and Excel software and 10-key preferred.
- Fluency in writing speaking and reading English required (Spanish is an advantage).
Duties and Responsibilites:
- Knowledge of payroll federal state and district laws guidelines policies and procedures.
- Understand and have a working knowledge of the Payroll section of the
- USFR Compliance Questionnaire checklist.
- Understand and have a working knowledge of the Records Management section of the USFR Compliance Questionnaire checklist.
- Have a working knowledge of the Arizona State Retirement Systems rules.
- Have a working knowledge of the State of Arizona Labor Law.
- Have a working knowledge of the Uniformed System of Financial Records (USFR) chart of accounts.
- Process all entry materials for each new employee creating a payroll file with all required information included.
- Maintain documentation for authorized payroll deductions in employee payroll files.
- Advise new employees of pertinent laws policies and procedures.
- Assist Human Resource Department with the preparation of all contracts or agreements or a notice of hourly wage for each new employee.
- Assist Human Resource Department with benefit direct deposit and voluntary deduction information and enrollment.
- Process employee set-up in the INFINITE VISIONS Payroll Module system and maintain documentation in the payroll file.
- Implement and maintain a payroll encumbrance system through the INFINITE VISIONS Payroll system.
- Collect verify and file timesheets on each non-exempt hourly bi-weekly supplemental and balance-of-contract payrolls as required with
- appropriate substantiating paperwork through the INFINITE VISIONS Payroll system including payroll changes docks overtime etc.
- Check in pay warrants per audit guidelines and prepare for disbursement to employees.
- Deposit and/or mail all annuity and volunteer deduction warrants and all additional appropriate warrants as required.
- Assist Human Resources with employment verification unemployment and workers compensation information to appropriate agencies as required.
- Process W-2s and W-2 reports through the INFINITE VISIONS system and distribute to employees in a timely manner and according to law.
- Assist employees with questions and concerns regarding their payroll.
- Work independently and in groups and be a self-starter.
- Assist the school sites and district office personnel as needed.
- Attend classes seminars and meetings as needed to improve knowledge and skills and to keep current with the latest laws services requirements and functions as they pertain to the districts needs.
- Perform emergency tasks as needed and directed.
- Perform all duties and assignments and use materials and operate equipment in a safe and responsible manner using all safety equipment or clothing which might be reasonable to ensure the safety of self fellow employees and students.
- Assume responsibility for and secure the district assigned keys which are assigned to you for your job use and safekeeping.
- Listen to understand and carry out oral and written instructions and directives and respond with oral and written reports as required.
- Maintain good personal cleanliness and dress appropriately for the position.
- Practice good public relations techniques with students staff administration and parents demonstrating a cordial and friendly manner.
- Work efficiently and cooperatively with other staff members.
- Practice regular and consistent attendance arriving and departing at the designated times for your position.
- Refrain from the use of inappropriate obscene or foul language.
- Maintain in good condition and store for safekeeping all property supplies and materials of the district.
- Maintain district security by locking all doors and gates for which you are responsible being on campus only during reasonable hours and reporting to the Head Custodian Director of Maintenance Business Manager or Superintendent any problems with locks lighting windows utilities etc.
- Assist in keeping the district campuses clean and orderly
- Perform other duties as assigned by the Director of Payroll Business Manager
- Assistant Superintendent or Superintendent.
