Job Description

SKILLS AND ATTRIBUTES
- 2 years of Assistant/Generalist experience
- Good understanding of and work experience with Singaporean employment legislation
- Great prioritisation and customer service skills
- Proactive and responsible
- Experience from the legal industry will be a great advantage
- Strong attention to detail
- Excellent technical skills including strong working knowledge of MS Office
- Good academic record
KEY RESPONSIBILITIES
Induction
- Assist with new joiners induction programme including preparing induction packs arrange meetings with relevant stakeholders and schedule training
Internship Programme
- Manage the internship programme
HRIS
- Act as the HRIS point of contact for the London Office
- Maintain records in HRIS
Personnel Information Files
- Maintenance of Individual information files
Leave Administration
- Maintain leave records and manage all leave-related issues and queries from all levels of employees
Immigration Foreign Lawyer Certificates and Practising Certificates Matters
- To maintain accurate records of current employment pass requirements
- To process and follow up all work permits in a timely manner and ensure the firm consistently works within its legal requirements
- To deal with Ministry of Law (LSRA) The Singapore Law Society and The Supreme Court with regards to application of foreign lawyer certificates and Singapore practising certificates for Singapore qualified lawyers
- To ensure all lawyers have valid practising certificates employment pass and foreign lawyer certificates at all times
- Ensure details of foreigner staff are promptly and accurately updated with Ministry of Manpower and Ministry of Law (LSRA)
Appraisals
- Assist the P&C Manager in the annual appraisal process
Departure Arrangement
- Manage the departure process of all terminations
Compensation and Benefits
- Prepare reports letters and other documents to support annual compensation programme
- Compile statistical reports as required for analysis
- Liaise with overseas office to support secondment arrangements
- Manage benefits issues and queries and to assist with medical claims for all staff
Training and Development
- Assist and liaise with various departments with regards to internal and external conferences seminars and training programme for staff
Reporting
- Compile data information reports and submit survey requests from Ministry of Manpower (usually on a quarterly basis)
Government-related Claims
- Submit government claims on child care leave maternity leave and national service leave
General Administration
- Assist in review of all P&C policy and procedure to ensure their applicability to the business going forward
- Prepare payroll
- Prepare various P&C reports including monthly turnover figures
- Assist in review and maintenance of HR standard forms letters and documents
- To be involved in ad-hoc P&C projects as and when required
- Liaise with other counterpart offices in London Hong Kong Australia China Japan on ad-hoc issues or enquires
- Other duties which may from time to time be deemed necessary
Recruitment
- Work with business support managers and liaise with recruiters vendors and direct applicants for designated roles/departments
- Maintain accurate recruitment tracking system and WDA Job Bank
- Respond to all speculative applications
- Manage the hiring process (this applies to leavers departure process too)
- Assist in probation assessment
- Assist in organising and co-ordinating client secondments both within the Norton Rose Fulbright group and with clients
Other Projects
Be an active member of the companys employee driven projects e.g. charity support employee engagement initiatives CSR D&I etc.
