Description:
The Project Coordinator plays a key role within the Order Fulfillment process. The role facilitates project information and workflow throughout a project lifecycle and coordinates internal project activities between departments and customers. The successful Project Coordinator will partner with and support Project Managers Site Managers the Financial Controller Product Supply Centers (PSCs) and external customers to assist with the logistical financial coordination and implementation of all project related activities.
Responsibilities:
Review and analyze contract requirements and establish internal tasks to ensure satisfactory realization of project requirements
Action all internal activities related to projects from initiation through to closure
Responsible for aII internal project activities related to logistics coordination and order processing to PSC and external suppliers
Place client orders into ERP/CRM system toward the relevant PSC
Create and place Purchase Orders for third party products
Control all items in the Order has regulatory clearance
Coordinate and follow up in relation to shipments and deliveries
Update and maintain project accounting budgets within the ERP system
Provide required information to evaluate changes to contractual dates based on contract terms and conditions revenue recognition requirements internal resource requirements and customer needs
Assume a proactive and direct role for supporting profitable revenue growth (i.e. monitor and provide status of short shipments proactively work to find alternative solutions to maintain delivery and installations schedules)
Process change orders and the associated statistical analysis
Process invoices and credit notes related to projects as required and within sales agreement terms and conditions
Maintain project files
Control account and project details are up to date in CRM system
Represent department at project planning meetings and status meetings
Manage incoming external calls received via the Elekta office main line
Other duties as assigned or requested
Relevant Knowledge Skills and Competencies:
Excellent English and German verbal and written communication skills
Strong ability to multi-task and meticulous attention to detail
Ability to work both independently and as part of a team
Understanding of basic finance and accounting concepts and terminology
Excellent presentation skills (ability to communicate effectively to a group)
Strong PC/Software skills (i.e. Microsoft Movex CRM systemetc)
Ability to effectively interact with customers and distributors (via phone and face-to-face)
Ability to effectively interact with members of other departments
