DescriptionThe Finance Administrative Assistant plays a vital role within Harrahs Ak-Chin Casino Resort by providing administrative support to the senior executive team interacts with all levels of the organization customers regulators and external constituents maintains required reporting and completes additional tasks as position offers the opportunity to handle multiple tasks at one time complete diverse sets of requests and manage projects that stretch professional development. Candidates for this position must be able to receive and handle confidential information possess a positive and customer-oriented personality and work in a cohesive team environment. This employee performs a full range of executive administrative and related duties using considerable independent judgment in making decisions.
ResponsibilitiesHOW YOU WILL CREATE THE EXTRAORDINARY
Prepares documents in rough and final form including correspondence forms reports charts and graphs.
Performs a variety of administrative or executive support tasks that are highly confidential and sensitive.
Provides additional administrative support to the entire executive team as needed.
Composes drafts of memos letters and other correspondence on behalf of General Manager and senior management.
Ensures competency of work from the standpoint of grammar composition and format. Sets up and maintains all files and records as required.
Places accepts and screens telephone calls and refers calls to others as appropriate.
Handles routine customer calls and employee inquiries and resolves concerns as appropriate.
Schedules meetings as requested.
Contacts managerial and staff personnel for collection of data statistics and reports.
Assists with coordinating employee events and plays an active role within the event.
Ensures all Purchasing Card explanations and reconciliations are accurate and complete for the Executive Team prior to approval.
Make travel arrangements; prepares itineraries; prepares compiles and maintains travel receipts and records.
Manage and maintain Executives Teams schedules.
Assists other managers with work as requested.
Meets the attendance guidelines of the job and adheres to regulatory departmental and company policies.
Performs other duties as assigned always presenting oneself as a credit to Harrahs and encouraging others to do the same.
WHAT YOU WILL NEED
High school graduate required; college education preferred.
Five years secretarial or administrative experience at a senior level is preferred.
Must be able to read write speak and understand English.
Must possess strong communication interpersonal customer service administrative and organizational skills.
Excellent PC skills and knowledge of most software (including Word Excel PowerPoint Outlook and MS mail) is required.
Must be able to work independently with minimal supervision and high degree of initiative.
Knowledge of Business English spelling and office procedures.
Must be able to get along well with co-workers and work as a team.
Must present a well-groomed appearance
Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business
QualificationsADDITIONAL REQUIREMENTS
Must be able to maneuver to all areas of the casino.
Must be able to lift up to 10 pounds and carry up to 5 pounds.
Must be able to bend reach kneel twist and grip items while working at assigned desk area.
Must have manual dexterity and coordination to operate office equipment including calculator PC computers fax machine and photocopier.
Must be able to work at a fast pace and in stressful situations.
Must be able to assess priorities and work under pressure handling multiple tasks at one time.
Must be able to respond to visual and aural cues.
Must be able to work a flexible schedule including weekends evenings and holidays
