The Admission Administrative Coordinator is a member of the Touro University College of Health Sciences Joint MSPAS/MPH Program staff. Primary responsibilities include initiating coordinating and monitoring the clerical administrative and secretarial functions required for the effective implementation of the Physician Assistant Program with a specific emphasis on the admissions component of the Program.
PA Applicant Management & Admissions 1. Works with the Office of Admissions and MPSAS/MPH Program Admissions Committee to complete tasks required to fill each cohort including organization of interview days reading all applications. 2. Notifies the Office of Admissions Program Admissions Committee and Program Director of the results from Interview Days. 3. Attends program admissions meetings and maintains minutes of all admissions related activities. 4. First point of contact for prospective candidates and incoming students. 5. Coordinate with the Universitys Admissions team to identify and schedule interview days open houses information sessions etc. 6. Coordinate and schedule interviewers (faculty or alumni) and recruit current students for panel discussions for interview days or information sessions. 7. Organize and review applications to assess if candidates meet the minimum requirements of the program and are mission-oriented using a detailed rubric to determine if the candidate should be offered an interview. 8. Tracks application review results and notifies the Office of Admissions 9. Provide training to new faculty on CASPA and interview day events. 10. Evaluate if CASPA Webadmit portal needs updates based on each admission cycle requirements. 11. Organize and curate detailed candidate files and rubrics before interview day to include information essential for candidate evaluation. Interview Days 1. Assist with interview day activities including helping moderate group activities running an MMI station or other assigned activities. a. Curate and compile detailed communication packets for interviewees accepted candidates wait list candidates and interested students. b. Compile detailed records of interview day comments ranking and final decisions. 2. PA Student Recruitment
3. Matriculation Requirements & Student Files c. Managing and updating electronic files of students as required by ARC-PA for admitted students. d. Coordinate with student health services to ensure students meet all onboarding requirements. 4. Website & Social Media e. Review the website to ensure it complies with ARC-PA requirements and ensure updates are made regularly. f. Creates a summary profile infographic of accepted students annually which is disseminated on social media as well as in our newsletters g. Creates social media posts and newsletters that highlight a variety of program activities including admissions. 5. Open House h. Organize events for the Open House including ensuring sufficient staffing and marketing. Program Meetings Minutes & Files 1. Maintains strict confidentiality regarding student and faculty records.
4. Maintains student files for program as directed by program director. Administrative Responsibilities: 1. Works with the Associate Program Director and Director of Didactic Education or their designee to organize Orientation and Bridge/Transitions Program. 2. Creates and disseminates quarterly program and alumni newsletters. 3. Assist in accreditation and grant reporting activities as needed. 4. Performs general administrative tasks including but not limited to written and verbal correspondence. Clinical Rotation Recruitment Coordinator 1. Participate in the clinical site recruitment and maintenance a. Recruitment of clinical placement sites including presentations and program advocacy b. Contact potential sites via phone email LinkedIn social media or in person. If there is no initial response multiple attempts should be made. c. Initiate and develop agreements and/or contracts with clinical affiliates instructors and preceptors who will be involved in the training of Joint students in the ambulatory and in-patient setting. 2. Attend the monthly Zoom team meeting to discuss ongoing site recruitment and other agenda items. 3. Represent program at professional meetings and booths (e.g. California Academy of PAs). 4. Coordinate with the Universitys Alumni Engagement Director and represent program at alumni facing events (e.g. annual CAPA conference). 5. Oversee annual on-campus job fair for new alumni and graduating students. 6. Coordinate with College University and System-level recruitment efforts. |
SPECIFIC RESPONSIBILITIES: are those work assignments which are predominant regular and recurring.
Other duties as requested by the Program Director Director of Clinical Education or Admissions Chair Travel will be required locally for site recruitment and up to 3 conferences per year. |
