Provide administrative support to the EMEA DE&C senior leadership team - UK based Functional Leads and provide admin support to the rest of the DE&C team as appropriate.
What youll do
- Provide calendar travel and expense management support to DE&C Functional Leads:
- Arrange complex travel itineraries across multiple time zones including booking of travel accommodation visas and other facilities as required.
- Ensure communications are managed efficiently with professionalism and discretion where necessary.
- Prioritise and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Monitor and respond to internal and external inquiries and requests. Handle extremely confidential information and exercise superior judgment tact diplomacy and discretion on all matters.
- Compiling and managing data for high level reports/ presentations. Assist with collating information and coordinating reports and presentations for key stakeholders.
- Arranging meetings conference calls Teams presentations as necessary.
- Organising meetings and events for the senior team organising agendas putting together PowerPoint presentations and taking minutes. When required plan and arrange off-site meetings and events including arranging travel and accommodation organising meeting space catering and entertainment.
- Work closely with other EAs/PAs both internally and externally and provide support for their stakeholders as and when required.
- Raise purchase orders and process invoices regularly liaising with the Accounts Department and assisting with dealing with invoice queries.
- Assist with posting updates on the DE&C EMEA Engage platform
- Managing permissions in SharePoint and across the wider Microsoft Eco System
- Assist with the onboarding process for new UK based starters (IT software hardware internal company processes introduction meetings expenses travel etc)
- Keep distribution lists up to date
- Use MS Planner/ to assist with amending and adding tasks for team members assist with the team initiatives when necessary
- Be admin on our software platforms for permissions and new users.
