Job Title: Graphics Project Manager

Department: Project Management
Reports To: Vice President of Museums
Location: Manassas VA

Compensation

  • Rate: $40/hour on W2
  • Conversion Salary: $80000/year with full benefits

Job Purpose

The Graphics Project Manager is responsible for the planning coordination execution and installation of all graphic elements for assigned museum and exhibition projects. This role ensures graphic scope is delivered on time within budget and to the highest quality standards while coordinating closely with internal teams and external vendors.

Key Responsibilities

Project Planning & Management

  • Manage the full lifecycle of graphics for museum and exhibition projects from planning through installation.
  • Develop and maintain project schedules budgets and scope for all graphic components.
  • Prepare and process Purchase Requisitions for subcontractors materials and services as required.
  • Initiate and manage Change Orders related to graphic scope cost or schedule adjustments.

Production & Technical Coordination

  • Review mark up and approve fabrication detail drawings in preparation for final technical specifications.
  • Manage the submittal and approval process for color palettes samples mockups and prototypes.
  • Track graphic production both internally and with subcontractors ensuring alignment with project milestones.
  • Maintain a detailed Master Graphics Matrix (Excel-based) to monitor proofing production status shipping and installation for all graphic elements.

Cross-Functional Collaboration

  • Initiate and lead graphics work order kick-off meetings.
  • Coordinate closely with the Graphics team Art Department Exhibit Project Managers and other internal stakeholders.
  • Provide ongoing support to designers and project teams to ensure successful execution of graphic deliverables.

Quality Control & Installation

  • Maintain established quality standards throughout production.
  • Perform final inspections of graphics upon delivery to ensure accuracy durability and adherence to specifications.
  • Support installation teams as needed to resolve graphic-related issues in the field.

Communication & Documentation

  • Participate in client and internal meetings; take document and distribute meeting minutes.
  • Communicate project updates risks and changes clearly to internal teams and leadership.
  • Ensure all project documentation is accurate organized and up to date.

Required Qualifications

  • Bachelors degree in Graphic Design Exhibition Design Architecture Project Management or a related field (or equivalent experience).
  • 3 5 years of experience managing graphics or production for museums exhibitions or complex built environments.
  • Strong understanding of graphic fabrication large-format printing materials and installation processes.
  • Proficiency with Microsoft Excel for detailed tracking and reporting.
  • Ability to read and interpret fabrication drawings and technical documentation.

Preferred Qualifications

  • Experience working in museums cultural institutions or exhibit design/fabrication firms.
  • Familiarity with Adobe Creative Cloud and design workflows.
  • Experience managing external vendors fabricators and print partners.
  • Knowledge of accessibility (ADA) durability and conservation considerations in museum graphics.
