Human Resources Associate (Recruitment)

Job Summary
Salary Range: Php 20000 - 24000
Responsibilities:
- Recruitment and Onboarding
- Collaborate with departmental managers to understand staffing needs and requirements for open positions.
- Manage the end-to-end recruitment process including job postings resume screening scheduling interviews conducting interviews and extending job offers.
- Maintain and update the Applicant Tracking System (ATS) to ensure accurate and timely candidate information.
- Conduct thorough reference checks for potential candidates to assess qualifications work ethic and cultural fit.
- Assist in facilitating new hire orientation sessions to ensure a smooth onboarding process.
- Partner with hiring managers to develop effective onboarding plans that integrate new hires into the organization.
- Training and Development
- Collaborate with department heads to identify training needs and develop training programs that align with organizational goals.
- Coordinate and facilitate training sessions workshops and other learning opportunities for employees.
- Monitor and evaluate training program effectiveness through feedback surveys and performance metrics.
- Assist in implementing career development initiatives including mentoring programs and career path planning.
- Support managers and employees in accessing and utilizing available learning resources and development opportunities.
- Compensation and Benefits
- Manage employee benefits programs including enrollment changes and communication with insurance providers.
- Administer leave management process and maintain accurate records of employee absences.
- Oversee compensation processes including salary benchmarking pay structure maintenance and incentive programs.
- Collaborate with the finance team to ensure accurate and timely payroll processing including deductions withholdings and tax compliance.
- Address employee inquiries regarding payroll and benefits providing guidance and support as needed.
- HR Compliance and Employee Relations
- Handle employee inquiries regarding HR policies procedures and programs providing guidance and support as needed.
- Ensure compliance with relevant laws and regulations in the implementation of HR policies and programs.
- Regularly update and maintain the employee handbook to ensure compliance with current employment laws regulations and organizational policies.
- Communicate updates and changes to employees and ensure understanding and adherence to handbook policies.
- Conduct compliance audits and investigations ensuring adherence to HR policies and legal requirements.
- Facilitate disciplinary actions as necessary ensuring adherence to company policies and procedural fairness.
- Monitor and report on HR compliance metrics such as policy adherence and incident resolution timelines.
- Performance and Talent Management
- Assist in the development and implementation of performance management processes including goal setting performance reviews and feedback mechanisms.
- Track and monitor employee performance against established goals providing guidance and support to managers as needed.
- Coordinate talent development initiatives including training programs mentoring opportunities and succession planning activities.
- Conduct exit interviews and analyze turnover data to identify trends and opportunities for improvement.
- Generate reports and analytics on HR metrics such as attrition rates absenteeism and employee satisfaction to inform decision-making and strategic planning.
- Pitches and Presentations:
- Participate in pitch presentations and brainstorming sessions providing support and insights in human resources
- Assist in preparing presentation materials and communicating ideas effectively to internal teams and clients.
- Industry Knowledge
- Be knowledgeable on market developments and opportunities around the advertising digital creative technology marketing and consulting industries
- Stay updated on industry trends and best practices related to creative operations and project management
- Participate in training programs and workshops to enhance skills and knowledge in operational processes and tools
- Collaborate with team members to share insights and best practices for continuous improvement
Key Performance Indicators (KPIs):
- Engagement of employees monitored through attendance and trends in absenteeism.
- Overall effectiveness of the workforce measured with individual and team productivity against established benchmarks and goals.
- Employee satisfaction with HR programs policies and overall work environment with regular surveys or assessments.
- Total cost incurred in the recruitment process per new hire including advertising agency fees and internal HR resources.
- Effectiveness of different sourcing channels and strategies in converting candidates to successful hires.
- Average time it takes to fill vacant positions from the initiation of the recruitment process to the acceptance of an offer.
- Quality of your employees evaluated through their skills competencies and performance against defined criteria and expectations.
- Employee retention rate calculated by the percentage of employees who leave the organization within a specific period and analyzing turnover trends and causes.
- Assess the accuracy and completeness of HR data in the HRIS system through regular audits and validation checks.
- Percentage of employees participating in training and development programs offered by HR
- Proficiency and growth in utilizing HRIS software analytics tools and other technologies that enhance HR processes and decision-making.
Requirements:
- Familiarity with Digital Marketing Advertising Creative Technology and general advertising industry knowledge is a plus
- Proficiency in Google Suite products especially Google Sheets Google Docs and Google Slides
- Highly organized particularly in utilizing digital collaboration tools such as Google Drive and ClickUp
- Exceptional interpersonal and public relations skills
- Outstanding verbal and written communication abilities
- Proven ability to manage time effectively prioritize tasks and meet deadlines consistently in a fast-paced environment
- Strong analytical skills with the ability to gather analyze and interpret data to inform decision-making and solve complex problems.
