About the Position

In this position you will work independently and consult with the Department Manager and Program Director to coordinate the Early Childhood Education Program (ECE) ECE students ECE faculty and operations of the department office. You will be the first point-of-contact for people calling emailing and visiting the department. You must be able to employ excellent organizational skills be attentive to detail and prioritize multiple tasks. You should have strong interpersonal skills and the ability to work both independently and in a team environment often dealing with sensitive and confidential information.

Responsibilities include:

Program Advising & Activities Tasks
  • Act as the point of contact for the ECE program; answer program related quested regarding eligibility admission and course sequence requirements
  • Explain established policies and procedures for persons having questions concerning ECE programming and activities and general programming inquiries.
  • Develop and implement strategies to help empower students and improve program diversity and retention
  • Design and implement student performance plans for students experiencing academic challenges including weekly coaching and support emails.
  • Create implement and assesses advising programs for engaging students and monitoring student progress toward academic and career goals
  • Confer regularly with representatives of on-campus academic and administrative support units regarding the interpretation and implementation of ECE related activities opportunities and available resources
  • Provide timely and accurate program information to faculty staff students and others through verbal and written communication individual conferences and presentations
  • Maintain confidentiality with student support and legality with state professional program and university requirements
  • Collaborate with off-campus programs implementation of ECE programming and resources
  • Organize and participate in ECE professional development activities
  • Monitor ECE program activities in relation to established ECE program goals as designed and implemented collaboratively with department manager and program director

Program Marketing & Recruitment:

  • Manage program websites and content updates for ECE programming
  • Provide support to general Woodring recruitment and program promotion as requested by department
  • Create and edit correspondence printed materials and news releases related to ECE
  • Maintain and interact with ECE cohort specific Facebook pages and groups
Program Administration Tasks:
  • Develop or revise policies and procedures and communicate with ECE faculty and other stakeholders.
  • Disseminate program information to administration department staff students and faculty
  • Process general office paperwork including writing reports letters and memorandums
  • Assist in preparation of endowment reports
  • Collect data for quarterly program review process and manage the administration of review process with Program Director
  • Communicate quarterly assessments to Program Director
  • Maintain technology literacy by attending regular trainings
  • Coordinate arrangements for ECE activities such as meetings conferences and luncheons
  • Schedule ECE appointments and meetings
  • Evaluate applicant transcripts for endorsement and certificate program coursework and competency standards to provide to directors and department chairs for program admission consideration
  • Assists ECE faculty with accessing program applications for review and maintaining and updating prospective student information
  • Disseminate DCYF PRC and OSPI clearance requirements to new program admits SPED ECE admits and students in the Bremerton outreach site
  • Track program clearance completion as well as HIPPA compliant TB test requirements.
  • Monitor and communicate clearance expiration for duration of students time in program
  • Collaborate with the Special Education and Elementary Education Program regarding course overrides for SPED-ECE and ELED students. Request overrides for ECE SPED and ELED students from other departments.
  • Assist ECE faculty with submitting Woodring professional development travel funding requests and SAP Concur travel request and expense reports following university travel policy and procedures.
  • Serve as one of the designated departmental credit card holders; make purchases following university policy and procedures.

This is a 9 month 25 hour/week position. Position is based on-site and in-person at the Bellingham main campus. Additional evening work will be required on occasion to support program events as well occasional travel to Woodring outreach sites and regional colleges for meetings and recruitment events.

Required Qualifications
  • High school graduate or equivalent
  • Two years of clerical experience which includes program administration and academic support or equivalent education/experience
  • Demonstrated proficiency with MS Suite with emphasis in MS Excel
  • Demonstrated ability to communicate (oral and written) persuasively effectively and professionally
  • Demonstrated evidence of strong organizational collaborative and coordinating skills which include a high level of attention to detail
  • Experience using database systems as well as analyzing and managing data
  • Proven ability to work collaboratively and effectively in a team environment
  • Experience and demonstrated ability to work effectively and graciously with students faculty and staff from diverse backgrounds
  • Proven ability to manage work priorities across multiple projects and meet specific timelines
  • Ability to work independently
Preferred Qualifications
  • Bachelors degree
  • Experience in teacher preparation professional programs
  • Experience working in a college or university setting
  • Experience with non-degree programs
  • Familiarity and experience with Outlook Slate Banner WIS and SAP Concur
  • Experience with Drupal or other web/marketing design programs
  • Ability to work across departments within a complex college
