Administrative Assistant to the CEO and Executive Assistant

Position overview
Murgado Automotive Group is seeking a highly organized Administrative Assistant to support CEO Mario Murgado while working closely with our Executive Assistant. This role is based from our home corporate office in the Miami area and is responsible for keeping the executive office organized responsive and ahead of deadlines. The ideal candidate is professional proactive discreet and comfortable managing shifting priorities with calm and precision.
What you will do
You will manage and protect the CEO Outlook calendar by scheduling meetings confirming attendees and reducing conflicts before they become problems.
You will coordinate executive travel by booking flights hotels ground transportation and dining while producing clear itineraries with confirmations addresses and contact details.
You will work directly with hotel concierge teams and vendors to ensure smooth arrivals room preferences meeting setups and special requests are handled correctly.
You will support the CEOs inbox by organizing messages prioritizing urgent items drafting responses when appropriate and ensuring follow-ups are tracked and completed.
You will help plan and execute quarterly corporate retreats and meetings by coordinating venues room blocks transportation agendas and onsite logistics.
You will maintain organized digital files and documentation by keeping confirmations contracts contacts and templates easy to access and up to date.
You will partner with the Executive Assistant by taking ownership of defined responsibilities and communicating updates so priorities stay aligned and nothing falls through.
What we are looking for
You have three or more years of experience supporting an executive senior leader or executive office in a fast paced environment.
You are highly proficient with Outlook especially calendar management meeting coordination and time zone scheduling.
You have proven travel planning experience and you are comfortable adjusting plans quickly when changes happen.
You communicate clearly in writing and in person and you consistently use sound judgment and a professional tone.
You are extremely organized disciplined and timely and you take pride in clean follow through.
You handle confidential information with discretion and you understand the trust required in an executive office.
You have experience coordinating events offsites or retreats or you can demonstrate comparable logistics ownership in prior roles.
A paralegal background is a plus especially if it includes document organization confidentiality and deadline-driven work.
Location and schedule
This role is ideally based in South Florida with regular work from the Miami area home corporate office.
This position requires flexibility for occasional early mornings or evenings due to travel time zones and business needs.
Quarterly travel is required to support corporate retreats and key meetings in person.
We may consider exceptional candidates outside Florida including West Coast applicants but local South Florida is strongly preferred.
