The Vancouver office is centrally located downtown and offers the opportunity to work on sophisticated cross-border matters.
The Opportunity
Our client is seeking a Legal Administrative Assistant to support a team of lawyers primarily practicing in Real Estate Corporate and China-related matters. This role is ideal for an experienced legal assistant who thrives in a fast-paced environment enjoys variety and takes pride in delivering exceptional administrative and client service support.
Key Responsibilities
- Prepare revise and format legal documents correspondence and agreements including lengthy documents with multiple versions and blacklines
- Manage lawyers calendars including scheduling meetings video conferences and travel arrangements
- Organize materials and prepare documentation for client meetings and transactions
- Provide professional administrative support including answering phones managing mail and distributing correspondence
- Communicate directly with clients external counsel and stakeholders escalating matters to lawyers as required
- Coordinate file openings and closings including conflict checks
- Manage billing processes including time entry drafting accounts and accounts receivable follow-up
- Maintain filing and bring-forward systems (electronic and/or manual)
- Complete electronic and manual filing
- Provide basic EnglishMandarin translation support
- Perform additional administrative duties as required
Qualifications & Experience
- Previous experience as a Legal Administrative Assistant ideally within Real Estate Corporate and/or China practice areas
- Fluency in Mandarin (written and spoken) is required
- Strong MS Word skills including advanced document formatting
- Experience with Excel PowerPoint iManage Nuance and Elite/Webview is an asset
- Excellent organizational and time-management skills
- Strong communication and interpersonal skills
- Detail-oriented proactive and solutions-focused
