  • Castle Rock School District is seeking a highly organized student-centered Level 1 ASB & Athletics Secretary The ASB & Athletics Secretary provides comprehensive administrative financial and clerical support to our Associated Student Body programs and athletic department. This position is responsible for managing ASB and athletic financial records supporting student activities and athletics coordinating events and schedules and ensuring compliance with Washington State laws (WAC) district policies and established accounting and internal control procedures related to student funds.

    This role requires a high level of professionalism accuracy confidentiality and the ability to manage multiple priorities in a fast-paced high school environment.

    Essential Functions:

    1. Provide clerical support to ASB and Athletic Director(s) in the daily administration and operation of ASB programs and the Athletic Department.
    2. Manage financial records for ASB programs and Athletic Department including monitoring account balances and related financial activity for the purpose of ensuring that allocations are accurate related revenues are generated expenses are within budget limits and/or fiscal practices are followed.
    3. Assure procurement of supplies equipment services as needed by ASB and Athletic Department.
    4. Maintain a variety of fiscal information files and records.
    5. Process deposits balance daily student fines and fees for ASB and Athletics
    6. Generate financial reports in compliance with district state and federal guidelines.
    7. Prepare money boxes manage electronic ticketing platforms for all activities and events.
    8. Reconcile gate and concessions receipts and inventory.
    9. Communicate effectively with students teachers parents and community including communicating with parents/guardians regarding outstanding student fines/fees.
    10. Prepare student refund requests for processing.
    11. Manage Final Forms for all athletics and activities.
    12. Schedule district vehicles check out keys and fuel cards and record odometers readings.
    13. Provide support and assistance in the development of the program and department budgets
    14. Independently answer routine matters and refer others to appropriate persons.
    15. Complete routine clerical work including filing and material preparation.
    16. Practices ethical standards of conduct and maintains confidentiality of positions at all times.

    Other Functions:

    1. Oversees accommodations for travel including hotel reservations vehicles meals etc.
    2. Perform other related functions as assigned to support the success of the district.
    3. Provide backup support to other clerical staff.

    Qualifications:

    1. A high school diploma or equivalent.
    2. Minimum two years of secretarial experience with increasing responsibility.
    3. Demonstrated knowledge of computers and software including Microsoft Office Excel and student systems.
    4. Demonstrated ability to employ principles of proper business correspondence including the ability to compose letters correspondence and reports from written notes of verbal instruction.
    5. Experience in basic bookkeeping/accounting practices.
    6. Demonstrated ability to work with frequent interruptions.
    7. Demonstrated ability to plan and conduct the effective operation of an office including articulate speech and grammar skills to communicate in a professional manner.
    8. Demonstrated ability to establish and maintain effective working relationships with those contracted in the course of work including professional and friendly telephone and personal presence in welcoming visitors.
    9. Demonstrated knowledge of management procedures and current office practices including the ability to read handle and maintain large amounts of paperwork.
    10. Demonstrated ability to initiate support activities without specific directions.
    11. Regular and reliable attendance.

    Preferred Qualifications:

    1. A.A. degree in related field
    2. Successful experience in school district bookkeeping/secretarial position.
    3. Demonstrated proficiency in Microsoft Office Student Data program (Skyward) and Google

    Employment Informations:

    • Location: Castle Rock High School
    • Assignment: 225 days per year (213 workdays 12 holiday)
    • Salary: Level 1 Secretary
    • FSLA: Non-Exempt

    Evaluation:

    • Performance of this job will be evaluated annually in accordance with the classified collective bargaining agreement.
