Job Summary

 De Beers Science and Technology develop builds and maintains sustainable cutting-edge technologies and innovative new products and services for De Beers Midstream and Downstream business and the wider diamond industry. From rough diamond sorting and sales to a full suite of polished diamond industry products services and business models S&T provides sustainable science technology and innovation solutions to enable De Beers strategic growth ambitions and to support the diamond industry. To do this S&T engages with the De Beers Midstream and Downstream business and our industry partners/customers to ensure that we are addressing the right priorities focused on delivering the right products and services effectively and efficiently to achieve the optimal business outcomes.

We are seeking a proactive and detail-oriented stock and Data controller to join our Operations team. This role is critical in the smooth flow of goods within this process and the stock management protocols associated with it are essential for  assortment experimentation and development.

Stock Management

  • Accountable for /- $140 million DBUK (Science & Technology) rough and polished diamond stocks including Master Samples regarded as DBUK intellectual property.
  • Oversee the secure storage of and access to third party diamond loans Finance Asset Register jewellery and Diamond Discovery Suite diamond stocks.
  • Monitor DBUK stock levels making recommendations on actions - intercompany sales to DBGSS Botswana of obsolete and no longer required diamond stocks or repurposing the stocks for other projects.
  • Liaise with third party holders of DBUK stock loans for auditing and insurance purposes. Third parties include the likes of Tower of London Natural History Museum The Gemmological Association of Great Britain and others.
  • Provide stock data to the Science & Technology team Finance DRM and any other relevant parties including the cyclical DBUK Stock Balancing reports and any ad-hoc reporting of global DBUK owned stocks.
  • Facilitate the diamond stock audit processes for DBUK that are undertaken by PwC Auditors on a yearly basis. Providing documentation physical stock checks advising on all enquiries and investigating and solving any anomalies that may arise.
  • BPP Audit.
  • Utilise the AX stock management system to monitor control audit and where necessary re-price DBUK diamond stocks (as advised by the Pricing Team).

Shipment Administration (Maidenhead site)

  • Control plan and implement the efficient effective forward and reverse flow and storage of DBUK diamond stocks and samples for all Science & Technology team project work.
  • Manage and maintain shipping records for DBUKs Maidenhead site (Science & Technology) to assist with audits and queries from DRM HMRC PwC Auditors and the UK Government Diamond Office (UKGDO).
  • Advise best practice solutions to any shipping related enquiries from internal and external stakeholders.
  • Recommend and arrange the timeliest and most cost-efficient shipping of DBUK Maidenhead site (Science & Technology) diamond stocks to other De Beers Group companies and ad hoc third-party locations in liaison with DRM and freight forwarders.
  • Preparation of paperwork for the issuance of Kimberley Process Certificates by the UK Government Diamond Office (UK GDO) for rough diamond export shipments and maintain accurate data thereof for their audits.
  • Liaising with the London Chamber of Commerce and Industry (LCCI) for the preparation and arrangement of paperwork for the issuance of ATA Carnets from the LCCI as and when required.
  • Ensure compliance with the Kimberley Process scheme ATA Carnet scheme HMRC VAT and duty regulations Routine Security Instructions Best Practice Principles and the Business Integrity Policy for all shipments sent to/from DBUK.
  • Responsibility for all packing paperwork and final checks on all rough and polished diamonds leaving DBUK (Maidenhead site) ensuring parcels are packed securely with the correct paperwork and marked with the correct values destinations and attachments. This includes the procurement of packaging materials.
  • Monitor shipments with freight agents to ensure timely delivery to and receipt from other De Beers Group companies or any other locations and 3rd party events resolving resulting queries as they arise.
  • Verify all incoming diamond shipments for DBUK (Science & Technology) including samples assortment development stocks polished stocks Synthetic Lab Grown Diamonds and third-party loans.
  • Provide monthly shipment import VAT figures to Finance to be included in the monthly VAT return. This includes checking Postponed Import VAT Accounting statements from HMRC.

Effective use of systems resources and information

  • Lead improvements to working practices/systems to maximise efficiency. Identify implication of proposed actions. (AX Related).
  • Use the AX diamond stock management system to accurately and effectively record all necessary information.
  • Responsible for the basic upkeep of technical equipment and arrangement of maintenance thereof. Such as Diamond Scales etc.

Stakeholder Relationships / Communication

  • Advise a wide range of internal and external stakeholders on best practice principles regarding logistics to ensure compliant secure cost effective and timely solutions
  • Communicate openly within team - regularly liaising with colleagues and attending team/area meetings.
  • Communicate clearly and accurately with all internal and external stakeholders.

Security

  • Exhibit awareness of and adherence to all procedures such as the Routine Security Instructions designed to maintain the safety security integrity and confidentiality of people product data and information.
  • Support the creation and development of policies processes and procedures needed within the department as needed to achieve team and delivery targets and objectives.
  • Escalate and report all non-compliances to DRM supporting investigations of anomalies as well as providing technical expertise in the development of subsequent reports.
  • Anticipate and act on any potential non-compliance issues in a timely manner.
  • Update procedures where necessary to match any new process/procedure as a result of testing of diamond systems thereby ensuring ongoing relevance of all routine security and departmental working procedures.

 


Qualifications :

  • Proficient in Microsoft Office (Excel Word PowerPoint AX stock management system)
  • Qualification/Experience in logistics and/or inventory management. (min 3 years experience)
  • Previous experience of import / export of goods and services
  • Previous experience of managing expectations of multiple customers government/ regulatory bodies and agents

Detailed working knowledge of:

  • Import / export processes for rough and polished diamonds.
  • Kimberley Process Certification Scheme.
  • The London Chamber of Commerce and Industry ATA Carnet scheme.
  • Customs import VAT.
  • AX stock management system.
  • SAP invoicing processes.
  • Routine Security Instructions and operational procedures.
  • DBUK stock management processes and procedures.
  • Global GSS pipeline and relationship between various departments.
