JOB TITLE: SPECIAL SERVICES BUSINESS ASSISTANT
JOB SUMMARY: This position works under the direction and supervision of the Executive Director of Special Services. The candidate who fills this position must maintain a variety of department records demonstrate proficiency in financial and office software have the ability to organize and maintain multiple on-going projects and have exceptional customer service skills.
ESSENTIAL FUNCTIONS:
- Plans organizes and performs administrative support functions related to activities and operations of the Special Services office.
- Assist the Office Manager with purchasing and maintaining financial records for district funds (bond general and federal).
- Provides support and assistance to the Special Services Office Manager and Special Services Administrators.
- Maintains records for all paraprofessionals and their certifications in accordance with state law. Coordinates enrolls and administers the certification testing process for paraprofessionals
- Collects Time and Effort sheets from federally paid employees in accordance with state law.
- Demonstrate working knowledge of educational databases and state reporting portals.
- Assists with professional development records including but not limited to site and district plans.
- Receives deliveries and communicates with the Special Services team and sites accordingly.
- Willing to work collaboratively within the team to ensure the needs of students teachers and administrators are met in a timely manner.
- Perform other duties and responsibilities as assigned by the Executive Director of Special Services.
EDUCATIONAL/TRAINING REQUIREMENTS:
- High School Diploma
- 3 or more years of experience working in a professional office setting
- Demonstrate working knowledge of basic office procedures basic accounting typing and a variety of computer applications (e.g. Word Excel PowerPoint etc.)
- Command of the English language both written and verbal.
- Perform difficult complex and confidential responsible clerical and secretarial work independently and effectively.
- Such an alternative to the above qualification as the Executive Director of Special Services may find appropriate and acceptable.
WORKING CONDITIONS:
- Generally the job requires 80% sitting 10% walking and 10% standing.
- Requires fine finger dexterity to use office equipment office technology and maintain accurate filing systems.
- Effectively coordinate a variety of difficult technical administrative functions at a level requiring extensive independent decision-making within established rules policies and procedures
- Must regularly lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 50 pounds.
- May experience constant interruptions inflexible deadlines and changes to normal routines.
TERMS OF EMPLOYMENT:
- 237 day contract 8 hours per day
STATUS: Non-exempt Support
