The Administration Assistant contributes to the effectiveness and efficiency of Operations Teams in the timely and accurate delivery of project administration services.
The Administration Assistant may undertake a wide variety of tasks within the areas of operations project administration office management and reception duties.

Were looking for an Administration Assistant who thrives in a fastpaced environment and enjoys keeping things running smoothly.
In this role youll play a key part in supporting our Operations Teams by ensuring the timely and accurate delivery of project administration services. No two days are the same youll be involved in everything from project support and office coordination to reception and general administration.
Key responsibilities
- Attaching invoices to works and assisting with job costing
- Supporting access to properties (including maintaining contact details)
- Keeping equipment logs and assisting with tag and testing records
- Assisting with training coordination including booking crews in for required training
- Collaborating with supervisors and project teams to support job delivery when required
- Responding to supplier invoice enquires
- Data entries
- Jobpac invoice/order docketing
- Jobpac raising POs
- Supplier invoice/statement reconciliation
- Organising accommodation/ vehicles through travel agent
- Office admin tasks i.e. kitchen / tea-room ordering training record management organising training courses for the project and maintain training records
- New vendor onboarding process assistance through MDM
- Support PM site admin as required.
- Liaising with field based and office-based employees to confirm / assist in the completion of tasks.
- General filing and office tasks
- Other duties as required and as are consistent with this role
Experience required
- Experience in administrative support in the same/similar industry
- Previous data entry experience
Competencies required
- Excellent provision of customer service
- Strong proficiency in Microsoft Office (Word Excel Outlook PowerPoint) and Microsoft Teams
- Ability to manage multiple tasks and priorities in a fast-paced office-based environment
- Clear communication skills and the ability to liaise with supervisors suppliers and field teams
- Excellent organisational and administration skills
- High level of attention to detail
- Well-developed verbal and written communication skills
- Committed to a high level of customer service
- Ability to manage time effectively and meet deadlines
- Professional friendly and enthusiastic manner
