Duties and Responsibilities

(* Essential Functions)


  1. *Under the general supervision of the Registrar evaluate and award credits for courses taken at other institutions for standardized tests (e.g. AP/IB/CLEP DANTES) for military service and training industry credentials and other non-collegiate sponsored education/training according to the institutions transfer policies and/or the UH systems articulation policies.
  2. *Advise students faculty and staff of institutional policies and practices regarding the transferring of credits. Provide clear guidance on transferring credits into the institution including required documentation. Assist with maintaining and updating the Colleges website chatbot and other sources that support with the dissemination of information about transfer credits and transcript evaluations.
  3. *Oversee and manage the transcript evaluation process. Maintain and upkeep the transcript evaluation form the systems used to track and monitor document submission; the systems used for actual credit evaluation; the systems used to communicate progress and outcomes with students; and the systems used to store all necessary documents.
  4. *Receive and respond to requests to transfer credits into the institution. Track and monitor document submission; follow up with students as needed; and communicate with source institutions as necessary.
  5. *Determine authenticity of documents submitted (e.g. transcripts military transcripts test scores etc.) as well as the eligibility of credits for transfer by verifying the accreditation status of the source institution acceptability of examinations etc. For foreign institutions research resource materials on the countries educational systems and perform analysis of their educational practices. Request additional information from students and/or originating institutions as needed.
  6. *Evaluate courses test scores industry credentials military experiences etc. for transferability according to the institutions transfer policies and system articulation policies. Determine whether or not credit may be awarded and/or prerequisites may be waived according to institutional practices and policies. Determine course and credit equivalencies. Consult with faculty as needed and required. Research available resources for evaluation and recommendations made by nationally recognized organizations to support evaluation decisions as needed.
  7. *Input the results of students evaluation into the Colleges student information system (i.e. e BANNER). Complete the Transcript Evaluation Form notify students of credits awarded correct and update student records as appropriate and maintain college code data base.
  8. *In collaboration with counselors and the Graduation Coordinator & Transfer Credit Specialist assist with the review of graduation applications to determine graduation eligibility confer degree or certificate designation and prepare notification documents; compile data for reports as directed/needed. Input graduation petitions into Banner and compile lists for the ordering of diploma inserts graduation programs etc. Notify students of candidacy status and refer ineligible applicants to counselors.
  9. *Stay apprised of all relevant university policies and/or agreements as well as state and federal regulations pertaining to transfer credits course articulation and/or transcript evaluation.
  10. Participate in division and/or campus initiatives as needed that involve transfer credit credit for prior learning and/or other transfer issues. Collaborate with other areas of the College as needed to support student success.
  11. Represent the College in UHCC and/or UH systemwide discussions initiatives and/or decision-making around transfer credits credit for prior learning and/or other transfer issues.
  12. Assist in program evaluation and improvement data collection and resource development efforts.
  13. Provide supervision in accordance with operational needs.
  14. Other duties as assigned.


Minimum Qualifications


  1. Possession of a baccalaureate degree in education counseling social work human development sociology or psychology and 3 year(s) of progressively responsible professional experience with responsibilities for college transfer credits; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Considerable working knowledge of principles practices and techniques in the area of college transfer credit evaluation as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with college transfer credit evaluation.
  4. Demonstrated ability to resolve wide-ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. For supervisory work demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.
  9. Experience working with a computerized integrated student information system.



Desirable Qualifications


  1. Extensive experience in data collection analysis organization and distribution of information.
  2. Extensive knowledge of FERPA and other admission and records-related regulations.
  3. Knowledge of policies and regulations of a University system as applied to student affairs.
  4. Experience working with BANNER and other University of Hawaii products (e.g. STAR).
