TITLE: Data Coordinator/RegistrarSUMMARY: Reporting to the Director of Technology as Data Coordinator this position is responsible for assisting the District with the oversight of the District databases and preparing and submitting state and federal reports. Reporting to the Superintendent of Schools as Registrar this position is responsible for processing new student registrations school choice and change of address requests. ESSENTIAL DUTIES AND RESPONSIBILITIES:Data CoordinatorPrepares various reports including but not limited to: Student Information Management System Report Education Personnel Information Management System Report Student Course Schedule Report School Safety and Discipline Report School Attending Children Report Equal Employment Opportunity Survey and School Choice Claim Form by generating and confirming the accuracy of the data throughout the year with building administration personnel Student Services Executive Assistant to Superintendent and Payroll/Personnel Coordinator correcting errors flagged by validations of date with DESE;Ensures integrity of data verifying information regarding data quality and data completeness; maintains procedural knowledge of state and federal guidelines for data reporting; processes all required state and federal reporting; submits various other education-related reports as required; Assists in the creation and maintenance of course catalogs course sections and school scheduling calendars; Prepares Report Card Schedule for opening/closing of Gradebook; Prepares and rolls over software to new school year upon completion of end-of-year reports;Supports administration with District student assessments; imports all assessment data into the Standards Test system (MCAS NWEA-MAP DIBELS);Manages all employee student and parental users and their access on all databases;Maintains and updates all information systems to meet state reporting and District needs;Maintains all electronic record keeping for students and staff ensuring quality control of data; records all in-house professional development courses taken by staff;Creates and validates school year bus list and maintenance of that data throughout the school year and summer;Assists in providing support to staff and students in the use of data systems used in the district;Responds to inquiries concerns and complaints in connection with bus transportation matters working with the School Business Administrator and Director of Operations; andPerforms any other duties as determined by the Technology Director relevant to the position of Data all incoming students including collecting and organizing all required documentation attaining State Assigned Student Identifier (SASID); Communicates to necessary parties any needs of the student; assists coordinating the Kindergarten and Preschool registration schedule;Processes residency for student change of address including collecting and organizing all required documentation; Creation of validated school year bus list and maintenance of that data throughout the school year and to inquiries concerns and complaints in connection with bus transportation matters working with the School Business Administrator and Director of with parents/guardians and addresses questions and concerns in connection with residency status issues; andPerforms any other duties as determined by the Superintendent of Schools relevant to the position of QUALIFICATIONSEducation and ExperienceBachelors Degree preferred. Minimum of three (3) years of experience in an administrative capacity working in information technology and management of information Skills and AbilitiesMust have knowledge of computer programs and be proficient in Microsoft Office and Google applications; familiar with educational software and preparing and submitting DESE reporting. Familiar with using PowerSchool DEMANDSWhile performing the duties of this job the employee may be required to remain stationary for extended periods move up to 30 lbs.; operate a computer and input data.
