JOB TITLE: Lead School Secretary
Classification: IIIA
Work Calendar: 218 Days
Reports to: School Principal
FLSA Status: Non-exempt
Job Summary: The job of Lead School Secretary is done for the purpose/s of providing clerical support to school site administrative functions; conveying information regarding school and/or District functions and procedures; ensuring compliance with financial legal and administrative requirements of assigned functions.
Essential Job Functions:
- Composes documents (e.g. correspondence agendas minutes bulletins reports etc.)for the purpose of communicating information to school and district personnel thepublic state officials etc.
- Evaluates situations (i.e. involving other staff students parents the public etc.) forthe purpose of taking appropriate action and/or directing to appropriate personnel forresolution.
- Oversees the ordering and distribution of supplies and orders for the purpose of providing adequate materials for employees.
- Maintains or directs others in the maintenance of various records (e.g. purchase ordersregistration work orders etc.) for the purpose of ensuring compliance with district or other agency requirements.
- Monitors assigned activities and/or program components (e.g. attendance programbudget time sheets etc.) for the purpose of ensuring compliance with financial legal and/or administrative requirements.
- Prepares written materials (e.g. brochures newsletters etc.) for the purpose ofconveying information regarding school and/or district activities and procedures.
- Processes documents and materials (e.g. schedules agendas mail etc.) for the purpose of disseminating information to appropriate parties.
- Reconciles cash accounts as assigned for the purpose of maintaining accurate balancesand complying with accounting practices.
- Assistsin the coordination of communication with and among staff the public parentsand/or students for the purpose of providing information and/or direction as may be required.
- Monitors students for the purpose of appropriate supervision when students referredfor disciplinary actions.
- Supports principal and/or other school administrative personnel in both routine andconfidential areas for the purpose of providing assistance with their administrativefunctions.
- Administers first aid and medication to students when necessary for the purpose of meeting their immediate health care needs.
Other Job Functions:
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Handles funds for the purpose of processing student fees sale of products etc.
- Supervises student assistants for the purpose of ensuring appropriate class credit and/or learning experience.
- Attends meetings (e.g. staff departmental parent etc.) for the purpose of assisting with communication.
Qualifications:
- Experience Required: Prior job related experience with increasing responsibility.
- Skills Knowledge and/or Abilities Required:
- Skills to operate standard office equipment including use of basic computer applicationsphone systems subfinder system use English in both written and verbal form usecorrect spelling grammar and punctuation administer first aid.
- Knowledge of rules and regulations related to assigned school basic budgeting financialand statistical record keeping standard office equipment.
- Abilities to sit for prolonged periods work independently understand and carry out oraland written instructions interact with persons of different age groups and culturalbackgrounds. Significant physical abilities include reaching/handling/fingering talking/hearing conversation near visual acuity/visual accommodation.
- Special Requirements: Spanish bilingual/biculturalrequired
Education required: High School Diploma or equivalent.
Licenses Certifications Bonding and/or Testing Required: Oregon Criminal Justice Fingerprint Clearance Cardiopulmonary Resuscitation andFirst Aid Certificates.
Annual Work Days: 218 (Monday - Friday 8 hours per day)
