Job Summary

Position Overview

Our boutique advisory and consulting firm is seeking a highly experienced Paralegal to function as a strategic partner to legal professionals (lawyers paralegals or judges) within a law firm corporate legal department or government agency. This is not a traditional role it is a high-level specialized consulting position designed for a seasoned legal operations professional who brings deep practice-area expertise operational intelligence and business acumen.

You will provide specialized advisory and implementation support across litigation immigration estates intellectual property AI & technology cybersecurity healthcare environmental corporate and financial international law social and governance law and other complex practice areas while optimizing workflows strengthening infrastructure and increasing client profitability.

This fully remote consulting based role requires executive presence discretion strategic thinking and the ability to operate autonomously in fast-paced legal environments.

Strategic Mandate

The Paralegal Consultant will:

  • Serve as a trusted advisor to attorneys and firm leadership.

  • Strengthen operational infrastructure across legal practice areas.

  • Improve workflow design case management systems and technology adoption.

  • Drive measurable improvements in efficiency compliance and profitability.

Core Responsibilities

Strategic Legal Operations & Practice Support

  • Provide high-level administrative and operational consulting tailored to specific practice areas (e.g. litigation immigration intellectual property) or other complex legal disciplines.

  • Oversee complex case lifecycles ensuring procedural precision and compliance.

  • Support attorneys in high-stakes matters requiring sophisticated document control and deadline management.

Advanced Case Management & Docket Governance

  • Maintain structured case management systems.

  • Oversee docket control and deadline tracking with precision.

  • Manage legal platforms such as Clio and PracticePanther to ensure maximum operational efficiency.

  • Implement best practices for digital file architecture and compliance.

E-Filing Strategy & Court Compliance

  • Lead electronic filing processes across jurisdictions.

  • Ensure strict adherence to court rules formatting standards and procedural timelines.

Complex Legal Documentation & Quality Control

  • Draft and refine sophisticated legal documents including pleadings motions contracts agreements and formal correspondence.

Workflow Optimization & Technology Leadership

  • Conduct operational assessments to identify inefficiencies and scalability gaps.

  • Recommend and implement process redesign automation and legal technology solutions.

Executive-Level Administrative Oversight

  • Manage executive calendars and anticipate critical deadlines.

  • Facilitate high-level client communications with professionalism and confidentiality.

  • Identify potential operational risks and implement preventative solutions.

Business & Consulting Operations

  • Support financial processes including billing systems invoicing and operational reporting.

  • Contribute to visibility initiatives including professional website oversight and strategic social media support.

  • Align legal administrative strategy with broader consulting objectives.


Qualifications :

Qualifications & Experience

  • Paralegal certification Law Clerk credential or equivalent legal education.
  • 3-5 years demonstrated experience within:
    • A consulting firm or

    • A law firm or legal organization (government ministry public or private sector).

  • Proven expertise in legal operations workflow design and technology integration.
  • Strong understanding of consulting business models and client service delivery.
  • Advanced proficiency in legal practice software platforms document automation and remote collaboration tools (Microsoft Office (Word Excel Outlook PowerPoint) and legal software (e.g. Clio iManage CosmoLex PCLaw LexisNexis) iManage NetDocuments Dropbox SharePoint Clio PracticePanther MyCase Slack Zoom MS Teams RingCentral).
  • Demonstrated proficiency with CaseCentre (formerly CaseLines) a secure cloud-based document management and evidence-sharing platform utilized by the Ontario courts for the organization exchange and presentation of digital court materials and evidentiary records.
  • Exceptional analytical organizational intelligence and strategic foresight.
  • Exceptional written and verbal communication skills for interaction with senior stakeholders.
  • Strong understanding of legal terminology procedures and documentation.
  • Proven ability to handle sensitive and confidential information with discretion. 
  • Ability to work independently in a fully remote environment while maintaining confidentiality and professionalism.
