About the Role
We are seeking a versatile Hybrid Bookkeeper & Business Management Assistant to manage financial and operational workflows across multiple business locations. This role is designed for an offshore resource with strong spreadsheet QuickBooks and reporting skills who is also eager to learn new tools and processes to support operational and financial efficiency.
The ideal candidate is technically strong in spreadsheets macros and financial reporting capable of independently managing data accuracy troubleshooting operational tools and building or improving reporting dashboards. While bookkeeping experience is valuable the role requires either advanced spreadsheet proficiency or a demonstrated willingness and ability to quickly learn complex spreadsheet and reporting tasks. This role does not involve making payments or direct spending mitigating offshore financial risk.
Key Responsibilities
Financial / Bookkeeping:
Perform contractor invoice checks currently handled by GMs and escalate discrepancies to management
Verify company credit card transactions for each location and document receipts escalating issues as needed
Manage Accounts Receivable (A/R) and Accounts Payable (A/P) entries to and from suppliers (e.g. verify Kynetic receipts)
Clean up and organize P&L transaction records to reduce accountant review time
Maintain bookkeeping using QuickBooks or similar systems
Operational / Technical:
Complete spreadsheet entries for inventory across HQ and all locations
Troubleshoot and maintain complex spreadsheets for local and corporate management
Build and improve reporting tools and dashboards
Support operational tasks beyond bookkeeping as needed
Cross-functional / Analytical:
Use AI and efficiency tools to optimize workflows
Escalate discrepancies or issues to management promptly
Ensure accuracy data integrity and timely task completion
Demonstrate a proactive approach to learning new tools workflows and reporting systems
Required Skills & Qualifications
Advanced proficiency in Microsoft Excel and Google Sheets (formulas pivot tables macros App Script)
Basic bookkeeping experience with QuickBooks or similar software
Experience managing financial and operational spreadsheets across multiple locations
Strong analytical problem-solving and attention-to-detail skills
Tech-savvy and comfortable learning new tools AI-assisted workflows and improving processes
Excellent written and verbal English communication
Ability to work independently in a remote offshore environment
Proactive learner mindset able to adopt new spreadsheet or reporting skills quickly
Preferred Attributes
Previous experience in bookkeeping operational support or business management
