As Executive Assistant to the CEO youll work at the heart of our leadership team and play a critical role in making sure Via runs smoothly at the highest levels. This is not a traditional administrative role - youll be a strategic partner and trusted operator owning key workflows ensuring airtight execution and keeping things moving in a fast-paced environment. If you thrive on high ownership thoughtful execution and supporting bold leaders we want to meet you.
**This role has an in-person expectation of 4-5 days per week**
About the Role:
- Serve as a right-hand partner to Vias CEO acting as an extension of their time energy and judgment
- Manage complex scheduling and calendar coordination across time zones with precision and thoughtfulness
- Prepare for high-stakes meetings: create agendas materials briefs and follow-ups to ensure top-tier execution and communication
- Facilitate internal communications and support executive alignment across functions and teams
- Handle sensitive information with discretion and professionalism; maintain absolute confidentiality
- Coordinate travel logistics and day-to-day operations
- Partner with stakeholders across Via - from internal leaders to external partners - to support initiatives troubleshoot blockers and move projects forward
- Build and refine scalable administrative processes that keep our executive function running like a well-oiled machine
About You:
- A seasoned operator with 8 years of experience in executive support business operations or a similar function; tech startup or fast-paced environments are a plus
- Unflappable under pressure: you stay calm clear-headed and focused when the stakes are high
- Curious proactive and solution-oriented: youre always two steps ahead
- Highly organized and detail-oriented: nothing slips through the cracks on your watch
- An exceptional communicator with strong emotional intelligence and sound judgment
- A trusted partner and collaborative teammate who knows when to lead and when to follow
Compensation and Benefits (US only)
- Final salary will be determined by the candidates experience knowledge and skills. Salary reflected does not include equity or variable pay where applicable
- Salary Range: $115000 - $150000
