Role Summary

We are seeking a highly organized execution-focused Carrier Services Coordinator to manage the lifecycle of broadband and UCaaS carrier orders.

This is not a passive administrative role. It is disciplined operational execution requiring structured follow-up proactive escalation and careful invoice review.

The right candidate is process-driven detail-oriented and comfortable being persistent with vendors to ensure deadlines are met.

This role operates in a dynamic environment with variable workload. The Carrier Services Coordinator must be comfortable turning around quotes quickly managing 1020 active quotes at a time and overseeing 20 open carrier orders simultaneously.

Scope includes new service orders renewals and Moves Adds Changes and Disconnects (MACDs). Some projects may involve multi-location deployments across dozens or even hundreds of sites. The ability to prioritize adapt and maintain structured tracking under volume is essential.

Primary Responsibilities

1. Carrier Quoting & Order Submission

  • Generate standard broadband and UCaaS quotes via supplier portals email and/or other online tools.

  • Turn around standard broadband and UCaaS quotes promptly while maintaining accuracy and documentation standards.

  • Prepare and submit clean accurate carrier order paperwork.

  • Ensure all required internal email visibility is included on every order.

  • Confirm order acceptance and documentation accuracy.

2. Order Lifecycle Management

  • Maintain a structured order tracker with:

    • Who owes the next action

    • What is owed

    • Date owed

    • Next follow-up date

  • Manage the full lifecycle of new installs renewals and MACDs ensuring accurate documentation timely follow-up and clean internal visibility.

  • Follow cadence guidelines for follow-up without waiting for reminders adapting the cadence when needed based on order type or urgency.

  • Escalate when vendors fail to respond.

  • Provide clear written status updates to the internal team.

3. Invoice & Billing Review

Review internet and voice first invoices for:

  • Contract match

  • Monthly recurring charges

  • Proration

  • Early termination fees (ETF)

  • One-time charges

Flag discrepancies immediately and document findings clearly.

4. Renewal Tracking

  • Track contract end dates.

  • Flag renewal windows 90120 days in advance.

Execution Standards

This role requires:

  • High organizational discipline

  • Relentless follow-up

  • Comfort escalating when vendors delay

  • Strong written communication

  • Attention to detail

  • Bias toward closure not waiting

  • Ability to manage high order volume while maintaining accuracy and consistent follow-up

  • Ability to operate effectively under fluctuating workload and time-sensitive requests

We expect the Carrier Services Coordinator to maintain consistent follow-up and escalate appropriately when vendors do not respond. Timely resolution requires structured persistence and clear documentation.

Passive execution or waiting for reminders is not acceptable in this role.

Qualifications & Technical Requirements

  • 3 years in operations coordination telecom support carrier services or similar execution-focused roles.

  • Strong organizational discipline with the ability to manage multiple parallel workstreams without losing detail.

  • Demonstrated personal task management system (you do not rely on memory or inbox alone).

  • Clear and professional written English.

  • Comfortable working U.S. business hours with real-time responsiveness.

  • Strong spreadsheet skills (Excel or equivalent).

This role also requires practical familiarity with connectivity and voice technologies. You do not need to design networks but you must understand the fundamentals well enough to ask intelligent questions and detect issues.

Candidates should be comfortable with:

  • Basic broadband concepts including fiber cable fixed wireless 4G/5G and common circuit types.

  • Carrier terminology related to ordering porting billing and contract terms.

  • IP addressing fundamentals.

  • Modems routers and basic network hardware.

  • Voice and UCaaS service terminology.

If you do not understand what a modem does how an IP address functions or the difference between fiber and cable service this role will not be a fit.

Telecom experience is preferred. However strong operational discipline combined with solid technical aptitude is equally important.

  • Invoice anomalies detected without prompting
