We are looking for a highly organised detaildriven Resource Centre Administrator to provide highlevel administrative and information management support to the Resource Centre Coordinator and team. What youll be responsible for
Resource Library Management (Physical & Digital)
Youll help maintain and grow SAOTAs Resource Library ensuring information is accurate accessible and beautifully organised.
- Capturing and maintaining data in the online SharePoint Library and Excel databases
- Adding new information researched by the Coordinator or team
- Transferring existing data from spreadsheets into the new database including Group Supplier and SubContractor lists
- Contacting suppliers to request samples and regularly update their information
- Coordinating the delivery and tracking of samples
- Supporting the library when the Coordinator or team members are unavailable
- Maintaining records bookings and movement of samples
- Printing and managing labels once samples are identified and uploaded to SharePoint
- Assisting in the SAOTA ARRCC Sample Room as required
- Allocating staff helpdesk tickets to the appropriate team members
Administrative Support
Youll also provide essential administrative support that keeps the Resource Centre operating efficiently.
- Assisting with compiling and populating reports and presentations
- Documenting minutes agendas and action lists for Resource Centre meetings
- Following up on outstanding actions and ensuring tasks are completed
- Liaising with couriers for all sample deliveries
- Supporting the team with general administrative tasks as needed
What were looking for
Essential experience & skills
- Minimum 3 years experience in an administrative role
- Exceptional accuracy and attention to detail
- Excellent written and spoken English with strong spelling grammar and proofreading skills
- High proficiency in Microsoft Office especially Excel and PowerPoint
- Ability to remain calm multitask and perform well under deadline pressure
- Strong interpersonal skills and the ability to collaborate across all levels
- Excellent organisational and timemanagement skills
- Proven ability to work independently take initiative and be proactive
- Ability to handle confidential and sensitive information with discretion
Advantageous
- Familiarity with the construction industry
- Experience with document management systems both physical and electronic
