The HR Operations Associate supports the effective delivery of end-to-end HR operational processes across the employee lifecycle. This role partners closely withinternal teams such asHR Business Partners Payroll Talent Benefits and external vendors to ensureaccuratetimely and compliant HR administration while delivering a positive employee experience.
The roleoperatesin a matrix international environment and requires strong attention to detailstrong communicationskills a proactive approach to supporting employees and HR stakeholdersand the ability to manage multiple priorities while handling sensitive information with role provides exposure to broader HR advisory activities through close collaboration with HR Business Partners.
EmployeeLife Cycle Management
Act as a first point of contact for employee HR queriesproviding clear professional andtimelyresponseandliaising closely with HR Business Partnerson a daily basis.
Support and process employee lifecycle changes such as new hires transfers job changes promotions and terminationsensuring accuracy and compliance with local requirements.
Prepare issue and track employee-related documentation including reference letters visa invitation letters employment confirmations and short-term work permit letters.
Administer employee benefits and HR policies in coordination with HR Partners and external vendorsensuring consistent application and clear employee communication.
Coordinate immigration-related processes including work permit applications extensions andderegistrationsin line with local regulations.
Calculate and administer time-off entitlements in line with local labor regulations and internal policies.
Coordinatebenefitsenrollment activities for new hires and annual enrolment cycles.
Ensuretimelyandaccuratesharing of employee information with Payroll teams for salary payments and statutory processing.
Support exit management and offboarding administration ensuring all steps are completed accurately and on time.
Support invoice management and requisition creation related to HR vendors and services.
Proactivelyidentifyrecurring employee questions process gaps or operational risks and raise them with HR Business Partners.
HR Systems & General Administration
Maintainaccurate up-to-date employee data in HR systems such as Workday and iCIMS ensuring data integrity and complianceandtimelyresolution of discrepancies.
Monitor and manage the HR case management toolresponding to employee inquiries in line with service-level expectations and escalating complex or sensitive matters as needed.
Ensure adherence to internal HR processes service-level agreements and data privacy requirements.
Support internal and external audits by providingaccuratedocumentation and data asrequired.
Projects Reporting & Continuous Improvement
Provide operational support for annual and ad hoc HR projects.
Prepare andmaintainHR reports metrics and operational trackers for stakeholders.
Assistwith process documentation process mapping and the maintenance of standard operating procedures (SOPs).
Identifyopportunities to improve HR operational efficiency data accuracy and employee experienceand proactively suggest improvements.
Experience in Human Resources Operations/Administration in a matrix international organization
Familiarity with HR systems and technologiesexperience in process documentation and process mapping is preferred
Knowledge or practical experience with Hungarian and/or other European employment laws and regulations is agreatadvantage with a willingness to deepenexpertisein this area
Experience working in aHR sharedservices setup is preferred
Bachelors or Mastersdegree in any field
FluentEnglish;Hungarian language fluency isrequired; any other European language is a plus
Excellent written and verbal communication skillswith the ability to explain HR processes and policies clearly and professionally
Strong interpersonal skills; approachable credible and able to adopt a flexible approach
Strong time management skills withprovenability to handle multiple tasks and projectswith strong attention to detail
Proactive solution-oriented mindset witha strong senseof ownership and follow-through
Highly motivated self-starter with the ability to work individually or within a team
Skilled in using Microsoft Office applications including WordExceland PowerPoint
Stakeholder relationship management experience with a proven record of accomplishment and experience
Experience in the financial service industry is a plus
