Job Summary

Job Description

The Data Management Assistant at Panno Realty is responsible for maintaining accurate organized and up-to-date real estate data across company systems. They support property listings client databases transaction records lease agreements and financial documentation. The ideal candidate is detail-oriented highly organized and comfortable working with spreadsheets databases and property management software.

Key Responsibilities

  • Data Entry & Maintenance:
    • Accurately input and update property listings tenant information sales transactions and lease details.
    • Maintain and organize digital records of contracts agreements and property documents.
    • Verify data accuracy and correct discrepancies promptly.
  • Database Management:
    • Maintain CRM systems and property management software.
    • Generate reports on property performance occupancy rates sales activity and client metrics.
    • Ensure data consistency across platforms and systems.
  • Document Control:
    • Organize electronic and physical files for properties transactions and compliance documentation.
    • Track expiration dates for leases contracts permits and insurance policies.
    • Assist in preparing documentation for audits or regulatory compliance.
  • Reporting & Analytics Support:
    • Prepare weekly and monthly reports for management.
    • Assist with compiling data for financial forecasting and property performance analysis.
    • Support the marketing team with updated listing data and availability reports.
  • Quality Assurance:
    • Conduct regular data audits to ensure completeness and accuracy.
    • Implement data-cleaning procedures to remove duplicates or outdated records.
    • Maintain the confidentiality of sensitive client and company information.
  • Administrative Support:
    • Provide general administrative support to the sales leasing and property management teams.
    • Coordinate with agents brokers and property managers to collect missing data.

Qualifications

  • Education:
    • Associates or Bachelors degree in Business Administration Information Management Real Estate or related field (preferred).
  • Experience:
    • 13 years of experience in data entry data management administrative support or real estate operations.
    • Experience with property management systems or CRM software is a plus.
  • Technical Skills:
    • Proficiency in Microsoft Excel Word and Outlook.
    • Experience with database management systems.
    • Familiarity with real estate software (e.g. Yardi AppFolio Salesforce) is an advantage.
  • Soft Skills:
    • Strong attention to detail.
    • Excellent organizational and time management skills.

    • Strong communication skills.
    • Ability to work independently and meet deadlines.
