The Talent Acquisition Coordinator is a key member of University Human Resources Talent Acquisition Center of Expertise (TA CoE). This role partners closely with Senior Recruiters and Recruiting Managers to deliver high-quality candidate coordination interview scheduling and recruiting operations support across multiple schools and units at Stanford.
The TA Coordinator plays a critical role in ensuring an organized efficient and welcoming hiring process helping create a positive and seamless experience for both candidates and hiring teams.
This is a hybrid position with a combination of onsite and remote work. The TA Coordinator is expected to work onsite at least two days per week (typically Tuesdays and Wednesdays). Onsite days may fluctuate based on business needs. The primary onsite location is Stanford Redwood City Campus (505 Broadway Redwood City CA) with occasional travel to the Stanford main campus.

Support recruiters and hiring managers with day-to-day coordination and scheduling of interviews phone screens and recruiting activities.
Maintain clear timely communication with candidates recruiters and hiring managers to ensure a smooth and organized hiring process.
Proactively manage scheduling changes and respond promptly to inquiries delivering a high-quality customer service experience.
Serve as the primary point of contact for candidates guiding them through onsite or virtual interviews and ensuring a positive experience.
Coordinate candidate travel and accommodations when required.
Maintain accurate candidate records and data integrity within the Applicant Tracking System (ATS).
Schedule post-interview debriefs and prepare evaluation materials to support structured equitable hiring decisions.
Curate interview guides evaluation forms and related materials to ensure consistency across hiring processes.
Collect track and consolidate interview feedback to support effective hiring manager decision-making.
Assist recruiters with resume reviews and candidate screening during peak periods.
Conduct phone screens for select positions (levels E F and G) to assess qualifications and alignment.
Conduct sourcing and market research using social media and professional networks (e.g. LinkedIn Indeed).
Complete weekly monthly and ad hoc recruiting reports and metrics.
Facilitate reference checks using Checkster or similar tools.
Identify opportunities to enhance the candidate experience and improve operational efficiency through process improvements.
Support job fairs campus outreach and other recruiting events both virtual and in-person.
Provide flexible support across additional recruiting initiatives as needed.
Bachelors degree and two years of relevant experience or an equivalent combination of education and experience.
Excellent written verbal and interpersonal communication skills.
Strong customer service mindset and professionalism when interacting with diverse stakeholders.
Exceptional attention to detail and organizational skills.
Ability to manage multiple priorities and deadlines with accuracy in a fast-paced environment.
Strong problem-solving and critical-thinking skills.
Proficiency with applicant tracking systems and standard productivity tools (Google Workspace and Microsoft Office).
