Position Duties/Responsibilities

The Operations Coordinator supports the Executive Director of the Doré School of Graduate Studies and the Director of the Office of Research and Sponsored Programs. The coordinator plays a pivotal role in the successful operation of the office by providing advanced administrative organizational and operational support. Manage the office calendar ensuring the efficient scheduling of meetings appointments and departmental activities:


  • Works with all University units to ensure compliance with all Graduate School policies and procedures.
  • Update and review all relevant Graduate School policies to ensure clarity and compliance.
  • Have an advanced knowledge of the formatting requirements of theses and be able to review theses from all departments for correct format.
  • Manage theses through the ProQuest software.
  • Communicate with students and faculty regarding thesis edits.
  • Host workshops for students and faculty about the thesis process.
  • Assist the Executive Director of the Graduate School with the administrative duties of the Graduate School.
  • Assist the Executive Director of the Graduate School with administrative duties related to relevant committees.
    • Graduate Council HSIRB IACUC
  • Knowledgeable of the HSIRB and grant software Mentor.
  • Coordinate the McNeese Alumni Association Undergraduate Research Symposium/Research Week.
  • Create/implement workshops as needed to disseminate knowledge to the campus community.
  • Coordinate/assist in recruitment efforts regarding Graduate School.
    • Graduate School Forum Grad Fest virtual recruiting
  • Manage all graduate faculty applications.
  • Be aware of all Graduate School deadlines and ensure all University units abide by deadlines.
  • Assist the Director of Grants Development and Compliance with the administrative duties of the Office of Research and Sponsored Programs.
  • Process travel reimbursements and related expense reports in a timely manner and ensure compliance with university travel policies.
  • Manage office inventory including tracking assets maintaining records and coordinating surplus or replacement needs.
  • Manage reservations for events ensuring efficient use of facilities and adherence to university policies.
  • Facilitate student travel to the UL Academic Summit.
  • Communicate with program coordinators department heads and deans as needed.
  • Knowledgeable of Banner systems including Argos.

Required/Preferred Qualifications

Required:

  • Bachelors Degree

Preferred:

  • Masters degree
  • Excellent written verbal and interpersonal communication skills
  • Exceptional organizational problem-solving and multitasking abilities attention to detail and professionalism
