We currently have an opportunity for a Contract Administrator. Join our Downer Direct team and play a key role in supporting the contract teams with various administrative functions to help meet the contract deliverables. Reporting to the Service Manager youll help deliver high-quality outcomes that support our essential services.

Te Kōwhiringa The Opportunity

Downer holds multiple long-term Asset Management & Facilities Management contracts with New Zealand government agencies such as the Ministry of Foreign Affairs & Trade (MFAT) Ministry of Education (MOE) and Land Information New Zealand (LINZ). These contracts involve the proactive management and delivery of facilities maintenance services operations services asset management and minor projects for all their property portfolio in New Zealand and in the Pacific.

What Youll Do (key responsibilities)

This role offers a broad scope with key responsibilities including:

  • Engage and influence customers in a positive and collaborative manner that achieves the right outcomes

  • Build strong and trusting relationship with client representatives and the Service Delivery Partners

  • Deliver administration functions with quality and within agreed timeframes including claims invoice processing receipt reconciliation purchasing accounts payable other basic finance functions

  • To provide real time administrative support to ensure the day-to-day operations purchasing and account payable functions are well supported

  • Plan Co-ordinate and ensure delivery of all Planned Maintenance and Reactive Works in alignment with contractual KPIs

  • Liaising with Sub-Contractors to ensure works are undertaken in alignment with KPIs and at times that work for Downer and the Site

  • Being the point of contact for Sub-Contractor queries

  • Communicating effectively with clients and suppliers both internal and external to produce required outcomes

  • Actively seeking improvement opportunities to increase margin client satisfaction and Downers overall company standing

  • To manage workloads in accordance with business requirements and in time for month end business processes

  • Work collaboratively with all stakeholders and Downer team to deliver exceptional levels of service

  • Assist with internal reporting and client reporting

  • Openly promoting a culture of excellence

Nga pūkenga matua Important Skills (experience required)

  • Deliver administration functions including invoice management and processing with quality and within agreed timeframes
  • Ensure reactive jobs are triaged and have corrects assets and associated data is captured
  • Co-ordinate closely with Facilities Managers to monitor schedules & KPIs
  • Develop ad hoc status and progress reports
  • Identify systematic issues and help develop improvements in conjunction with other team members in the Contract.
  • Assist with planning and coordination of planned maintenance activities and inspections in conjunction with the Facilities Managers and customer where required
  • Experience in administration scheduling or planning
  • Experience working in a time pressured KPI driven environment

  • Excellent communication skills in a high volume and time-based environment
  • Experience of MS Dynamics and WMS advantageous
  • Experience with ERPs such as SAP JDE would be advantageous
  • Use of MS Office suite of software (esp. Excel and Word)
