Project Healthy Minds is a mental health tech nonprofit pioneering a first-of-its-kind digital marketplace to make finding mental health care as easy as booking a flight or restaurant reservation. We work at the intersection of technology culture philanthropy policy and media to address one of the most urgent social challenges of our time: the growing mental health crisis.
To do this we partner with influential leaders across business entertainment science medicine and public policy and are backed by an active and engaged Board of Directors and Advisory Council. Over the last decade Ive had the good fortune to get to work with extraordinary teams and incredibly talented people the kind of people who inspire and push you to become a better version of yourself. Whether it was in the Obama White House at the National Economic Council or at BlackRock in the Vice Chairman or Global CMOs office I have always worked in the front office working first as the young staffer then as the Chief of Staff for high-powered talented impactful leaders.
What I learned from all of those experiences is that when a leader finds the right right-hand they are an unstoppable force of nature together. Thats who I am looking for in this role someone who works hard and will get into the trenches with me someone who has high EQ and is good at working with all of the different types of stakeholders that I interface with (from CEOs of big public companies to founders of startups that have become household names to celebrities to clinicians to my colleagues at work to external partners to the people we serve) someone who is smart and able to connect the dots across all of our work someone who is incredibly organized and detail-oriented to help me run the Office of the CEO someone who has a knack at anticipating needs and what will happen next and someone who is just a joy to work with every day. Essentially I am looking for a partner-in-crime as we build and scale Project Healthy Minds.

WHAT WERE LOOKING FOR:
The Coordinator Office of the CEO supports the Founder & CEO and the Associate in the Office of the CEO in running the Office of the CEO. This role serves as the CEOs left arm providing dynamic support across research strategy project management communications and operations.
This role sits at the center of the companys decision-making engine and the Coordinator plays a central role in preparing briefings driving strategic projects managing information flow working with colleagues across the Project Healthy Minds team and with external stakeholders and serving as a representative of the CEO in both internal and external contexts. This role requires strong judgment discretion and the ability to operate across a wide range of stakeholders including the Board of Directors Advisory Council major donors senior leaders and external partners.
The role is intentionally structured as a training ground for future leadership positions within the Office of the CEO and/or other areas of the organization offering exposure to strategic decision-making cross-functional collaboration and executive-level processes.
HOW YOULL CONTRIBUTE:
Strategic Projects
Take the lead on special projects that are often cross-functional high-visibility and deeply strategic to the growth of Project Healthy Minds
Translate early-stage or abstract direction into clear structured high-quality outputs driving execution through executive-ready decks briefs and materials in partnership with the Founder & CEO and the Associate Office of the CEO
Manage project timelines trackers and deliverables to ensure work moves forward on schedule
Proactively flag risks gaps dependencies and open questions to maintain momentum and quality
Research Briefing & Materials Development
Conduct targeted research in support of Office of the CEO priorities including (1) background research for meetings with senior leaders partners donors and external stakeholders (2) stakeholder and organization mapping to inform engagement strategy and (3) synthesis of inputs from internal teams into a cohesive point of view
Prepare briefing materials and meeting prep in partnership with the Associate Office of the CEO including (1) concise meeting briefs and pre-reads (2) relevant background context and key talking points and (3) summaries of risks open questions and recommended next steps
Build substantive first drafts of Office of the CEO materials such as (1) decks one-pagers and written summaries for internal and external meetings (2) draft correspondence on behalf of the CEO and (3)initial frameworks and structures that can be refined through strategic review
Board Committee & CEO Readiness
Drive cross-functional readiness for Board and Committee meetings ensuring teams are aligned materials are complete and deliverables meet executive-level standards
Coordinate inputs deadlines and materials in partnership with the Associate Office of the CEO
Package CEO-ready and Board-ready materials in a clear organized and timely manner
Maintain version control and documentation to support efficient review and decision-making
Office of the CEO Operations
Manage scheduling calendars and coordination in support of the Office of the CEO
Prepare agendas capture meeting notes and track follow-ups
Triage and route internal and external requests appropriately
Support travel planning expense processing and office logistics as needed
Maintain Office of the CEO systems trackers and documentation to ensure continuity and visibility
Growth & Development
The Coordinator Office of the CEO role is designed as a foundational front-office role offering hands-on exposure to (1) strategic projects and executive-level work (2) cross-functional leadership and decision-making and (3) Board and senior leadership processes
With strong performance this role can evolve into expanded responsibility within the Office of the CEO (including progression to Associate-level roles) or into leadership positions across other areas of Project Healthy Minds.

Experienced Bachelors degree and at least 2 years of experience preferred.

The annual salary for this role is between $70000 and $85000.
