The base pay scale for this position is $84000.00 - $127875.00. In addition this position will be eligible for additional benefits consistent with the role. The salary of the finalist selected for this role will be determined based on various factors including but not limited to: scope of role level of experience education accomplishments internal equity budget and subject to Fair Market Value evaluation. The hiring range listed is a good faith determination of potential compensation at the time of this job advertisement and may be modified in the future.Key Responsibilities:
Supervisory & Operational Oversight
Supervise and provide guidance to two Facilities Coordinators.
Ensure timely and effective dispatching of facilities and housekeeping emergency calls either directly or through coordinators.
Monitor and improve response workflows for emergency and routine service requests.
Administrative & Financial Management
Process purchase orders and invoices in accordance with company policies.
Track departmental budgets and expenditures; assist in financial reporting and forecasting.
Manage payroll processing and time-off tracking for departmental staff.
Maintain accurate records and documentation for audits and compliance.
Process Development & Improvement
Develop document and implement administrative procedures to enhance departmental efficiency.
Identify opportunities for process improvement and lead initiatives to streamline operations.
Ensure alignment of departmental practices with broader organizational goals and compliance requirements.
Communication & Coordination
Serve as a liaison between the Engineering Department and other internal departments (e.g. Finance HR Procurement).
Coordinate with vendors contractors and service providers as needed.
Prepare reports presentations and communications for leadership and stakeholders.
Qualifications:
Bachelors degree in Business Administration Facilities Management or related field (or equivalent experience).
5 years of experience in business operations facilities administration or a related role.
Prior supervisory experience preferred.
Strong organizational and multitasking skills.
Proficiency in Microsoft Office Suite and enterprise systems (e.g. CMMS Workday ERP payroll software).
Excellent communication and interpersonal skills.
Preferred Skills:
Experience in a healthcare environment.
Familiarity with emergency dispatch protocols and facilities maintenance workflows.
Knowledge of procurement and financial systems.
