Lead PMO
Asia Delivery Services mandate is to deliver IT and business initiatives that execute Manulifes strategic vision. We work across multiple geographies within Asia segment partnering with local markets to transform processes and deliver value driven solutions for our distributors and customers.
Asia Delivery Services PMO team is involved in technology-based project initiatives across channel and business which involve extensive stakeholder management and collaboration across functional and business units.
This position will report to Head of PMO Asia Delivery Services and will be responsible for detailed tracking of individual programs as well as providing oversight across Regional Office Strategic portfolios. The role also leads education and support for other Regional Office PMOs Program Leads Project Managers Product Owners and partners with Local market counterparts in key areas of project governance project finance business case development benefit tracking & realization and the continual uplift of our portfolio capability and maturity.
Position Responsibilities:
Accountable to consolidate analyze and monitor Program artefacts: Program & Project schedule (including critical path) consolidated program and project view of resource demand and supply risks & issues financials (cost variances to ensure accurate tracking against agreed project budget)
Co-ordinate and drive completion of status reporting for Programs at different working levels (project status reports monthly status reports to the region steering committee) and taking detailed meeting minutes
Experience with dealing in Agile Programs/Projects and able to create and maintain Agile artefacts and processes
Accountable for project deliverables (meeting minutes risks issues and decision logs) and following up on outstanding actions and monitoring risks and issues
Assist and support program/project monthly to accurately forecast for the full rollout and for each Financial Year. Support and provide relevant input for annual budget cycle.
Accountable for completion of the monthly financial cycle according to agreed quality standards (e.g. reconcile with general ledger and make proper accruals). Analysis to be done on variance between planned/forecasted number and actuals.
Review and liaise with Regional controllers and related project parties to reconcile and assist Project Manager drive cost allocation / charging agreement between business units
Accountable for monthly finance reporting to ensure timely escalation of any financial issues
Review invoices and ensure that charging is in accordance with signed agreements
Ensure Business case minimum standards are met and drive program compliance under Outcome Delivery Framework
Establish governance for new initiatives and ensure they remain compliant with Manulife standards and policies including maintaining Manulife PPM tool and reports on a regular basis.
Create and maintain Program/Project document repository (Sharepoint) including ensuring permissions are granted in the correct manner and the repository meets security and governance standards
Collaborate with different parties to support resource on-boarding and off-boarding process
Preferred Qualifications:
5-10 years experience in a PMO or PM role delivering large scale complex cross-year and multi-country roll-out projects
Strong at effectively handling multiple priorities under time and delivery pressures
Motivated self-starter with can-do mindset proactive at identifying risks and acting.
Able to adapt to a fast-paced changing priorities and technology environment
Excellent business sense and presentation skills including good proficiency in MS tools and excellent documentation skills (in English)
Agile experience is desirable
Experience with project management tools and working in insurance industry is an added advantage
